Job Overview:

We are seeking a detail-oriented and highly analytical Offshore Admin Specialist to support our finance team with credit card transaction reconciliation and tagging. The successful candidate will be responsible for reviewing credit card exports and matching them against existing QuickBooks transaction data. The primary goal is to identify and tag any missing transactions and assign appropriate categories based on historical data. This role does not involve corrections conversions or duplicate checks only comparison tagging and basic categorization


Key Responsibilities:

  • Review and compare two data sources:

    • QuickBooks Export: Contains logged transactions from the back office

    • CEO Credit Card Export: Contains raw transaction data directly from the credit card provider

  • Identify transactions from the credit card statement that are missing in the QuickBooks export

  • Tag missing transactions using the provided dropdown options in the spreadsheet

  • Assign categories to missing transactions where applicable based on historical categorizations (e.g. Uber Transportation/Taxis)

  • Leave category fields blank if uncertain or if no clear categorization exists

  • Maintain strict accuracy and consistency no restructuring no flagging duplicates and no manual corrections or conversions

  • Deliver a clean and updated spreadsheet with:

    • Missing transactions properly tagged

    • Appropriate categories filled in where confidently applicable

    • No unauthorized changes to existing data

Requirements:

  • Proven experience in administrative finance support or data reconciliation roles

  • Strong proficiency in Excel or Google Sheets (filters dropdowns basic formula navigation)

  • Excellent attention to detail and high accuracy in data comparison

  • Familiarity with QuickBooks or similar accounting systems (preferred)

  • Ability to follow specific instructions and workflows with minimal supervision

  • Strong organizational skills and the ability to meet deadlines

  • Comfortable working with numeric data and approximate matching (e.g. small date or amount variances)

  • Confidentiality and discretion when handling financial data
