(Please note this role is 5 days/week onsite Downtown Toronto)

As the Office Manager you ll play a critical role in keeping the team running smoothly and ensuring the CEO is supported at the highest level. This role is a mix of operational excellence (70% office management) and direct executive support (30% EA).
Office Management:
- Own day-to-day office operations
- Monitor and order office and kitchen supplies ensure stock is maintained
- Set up and maintain boardrooms AV systems and shared spaces
- Be the main point of contact for property management and landlord relations
- Anticipate needs and solve issues before they become problems
- Manage shipping receiving and other administrative tasks that come up
- Support onboarding logistics like shipping laptops swag and equipment to new hires and ensure everything is set up
- Enhance the office environment to support collaboration and productivity
- Drive employee experience by making the workplace seamless and engaging
- Support company events (catering food orders hotel bookings logistics)
- Be the first point of contact for day-to-day operational issues and resolving them quickly
- Ensure consistent high-quality operational and administrative support across the company
Executive Assistance (30%)
- Assist with meeting preparation agendas materials and follow-up
- Provide proactive calendar and schedule support for the CEO
- Help coordinate internal and external communications
- Monitor and organize the CEO s inbox flagging priorities and drafting communications where appropriate
- Support the CEO on special projects as they arise ranging from strategic initiatives to one-off requests
- Anticipate needs and step in with solutions ensuring the CEO s time and focus are maximized
Requirements
- 3 years in office management operations or executive support
- Proven track record overseeing daily operations in a fast-paced environment ready to jump into special projects or unexpected tasks with enthusiasm
- Super organized the type of person who loves sticky notes highlighters and keeping every detail in order
- You re a people-person. You care deeply about the little things that make people s lives easier and you anticipate their needs before they arise
- Strong multitasking skills with a proactive resourceful and solutions-focused mindset - you get it done
- Tech-savvy comfortable with AV systems and office tools - you re the fixer of all things
- You re scrappy and solutions-focused - if you haven t done something before you re resourceful and do what it takes to figure it out
- Naturally helpful kind and approachable you re the person people turn to for support
- Experience coordinating events vendors or logistics
- You re detail-oriented you sweat the small stuff and ensure nothing falls through the cracks
- Above all you are proactive adaptable and willing to do whatever it takes to ensure things run seamlessly
