Description of Work

This Position Is 100% Federally Funded

The Recruitment Range For This Position Is $44867 - $49397


This position provides administrative support to the HIV/STD Prevention and HIV Care programs within the HIV/STD/Hepatitis Unit. Responsibilities include coordinating travel and car fleet logistics managing correspondence and records overseeing IT issue resolution and maintaining office supplies and equipment. The role also serves as a primary point of contact for facility-related concerns and building safety coordination.

The position supports the effectiveness of public health operations by organizing provider meetings handling educational material distribution and assisting with data entry and processing. These functions contribute to the timely and accurate flow of information across internal teams and external stakeholders ensuring efficient program delivery.

Key Duties Include:
  • Coordinate travel requests itineraries and supporting documentation for staff and partners.

  • Oversee car fleet assignments maintenance and mileage tracking.

  • Act as point of contact for building maintenance facility safety and IT service requests.

  • Support quarterly Providers Meetings including logistics materials and scheduling.

  • Manage correspondence reports and meeting notes for internal and external distribution.

  • Maintain inventory and oversee ordering distribution and tracking of supplies and equipment.

  • Perform data entry for HIV/STD test results and manage filing in shared electronic systems.

  • Coordinate daily and interoffice mail distribution and processing.

  • Organize physical and electronic records according to confidentiality and retention protocols.

  • Operate standard and specialized office equipment including badge machines and audiovisual devices.
