JOB TITLE: Senior Administrative Assistant

UNIT: External Affairs

REPORTS TO: External Affairs Manager

LOCATION: Sacramento / Los Angeles / Hybrid

EMPLOYMENT STATUS: Non-exempt Full Time (37.5 hrs.) Regular

SALARY (DOE): Band 4 ($27.60 34.89/hr). We base salary and position offers on experience and an internal equity analysis.

PURPOSE OF THE JOB

Reporting to the External Affairs Manager this position provides high-level administrative support to the Public Policy Communications and Events units and responsible for independently managing projects.


ESSENTIAL FUNCTIONS

Essential functions are the job responsibilities an employee must be able to perform with or without reasonable accommodation. Essential functions include:

  • Coordinate internal and external meetings video conference calls working groups workshops and events.
  • Provide high level administrative and project support to External Affairs staff in the Public Policy Communications and Events Units.
  • Independently develop/transcribe/format/proofread/edit documents correspondence forms reports and charts for complex projects.
  • Draft legislative correspondence and position letters for DRC legislative staffs review using DRC staff policy analyses of bills.
  • Contact legislative offices / connect with vendors to obtain information set meetings and other follow up as assigned by DRC legislative staff.
  • Coordinate accommodation requests for Braille interpreters captions and any other disability-related accommodation request as needed for External Affairs projects and staff.
  • Research coordinate and make arrangements for staff travel.
  • Conduct event location search and on-site accessibility checks.
  • Employ discretion and protect sensitive and confidential information received and generated.
  • Provide onsite logistical and accessibility support for meetings trainings and events as needed.
  • Other duties as assigned.

TRAVEL REQUIREMENTS

Ability to travel infrequently for activities such as training or outreach activities up to 10% of the time.


WORKING CONDITIONS

The following describes general working conditions and requirements of the job which can be performed with or without disability related reasonable accommodations. Duties regularly require sitting and using computer equipment and frequent communication on calls. Occasional periods of standing stooping kneeling and crouching. Weights to be lifted and/or moved up to 10 pounds are occasionally encountered.


Stable and reliable internet connection is required if working from home.



Requirements

MINIMUM QUALIFICATIONS Education and Experience High school diploma or general education degree (GED); Five years of progressively responsible administrative experience; or equivalent combination of education and experience.


Plus:

  • Advanced level skills in Microsoft Office Suite including Word and Excel.
  • Demonstrated ability to perform detailed administrative work to understand and carry out oral and written instructions to work well under pressure and to effectively reprioritize and handle multiple tasks and fluctuating deadlines with minimal supervision.
  • Ability to communicate effectively in English both orally and in writing including a knowledge of correct grammar punctuation spelling and sentence structure.
  • Effective time management skills; is a fast thinker who can quickly piece together complex solutions.
  • Familiarity with virtual platforms such as ZOOM and Microsoft Teams.
  • Demonstrated experience managing sensitive documents and information with discretion and maintaining confidentiality.
  • Experience supporting events or working vendors.
  • Prioritize conflicting needs; able to handle matters quickly; effectively reprioritize and handle multiple tasks and fluctuating deadlines.
  • Be proactive with tasks and responsibilities; work collaboratively as part of a team; to be flexible with changing situations; and to establish and maintain effective working relationships with individuals in various offices and programs and people outside the agency.

PREFERRED QUALIFICATIONS

  • Associates (AA) degree in a related field from two-year college or technical school; or equivalent combination of experience and/or training.
  • Experience organizing large virtual and/or in person meetings and events.
  • Experience working in Communications events or the policy field.
  • Communicate fluently and write effectively in Spanish or Asian language; or able to communicate using American Sign Language.
  • A working knowledge of the laws rights and services pertaining to people with disabilities in California.
  • Experience with record-keeping and compliance (data analysis/reporting).
  • Knowledge and demonstrated ability to create edit format analyze and finalize documents for accessibility.
  • Life experience as a person with a disability or direct experience as a caregiver of a family member with a disability.
  • Experience working with a multi-ethnic organization and/or within multi-ethnic communities.
