Requirements
- Education: A Bachelors degree in Law (LLB) or a recognized Paralegal Diploma/Certificate from Sri Lanka.
- Experience: Minimum of 2-4 years of experience working as a Paralegal Legal Assistant or in a similar role within a law firm or in-house legal department in Sri Lanka with a strong emphasis on documentation management.
- Documentation Expertise: Demonstrated proficiency in managing high volumes of documents meticulous record-keeping and ensuring data integrity.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and experience with document management systems (DMS) or electronic filing platforms.
- Organizational Skills: Exceptional organizational skills and an unwavering attention to detail.
- Communication: Excellent verbal and written communication skills. Fluency in English is mandatory; proficiency in Sinhala and/or Tamil is highly advantageous.
- Legal Fundamentals: Basic understanding of Sri Lankan legal principles particularly in corporate commercial or administrative law.
- Professionalism: High level of professionalism discretion and ability to handle confidential information.
- Specific experience with corporate secretarial documentation or immigration application processing.
- Experience with specific legal research databases or e-discovery tools.
- Familiarity with regulatory compliance documentation in a specific industry.
Responsibilities
- Legal Document Preparation: Draft format and proofread various legal documents including but not limited to corporate resolutions board minutes general commercial agreements regulatory filings and immigration-related forms ensuring accuracy and adherence to templates and legal requirements.
- Document Management: Take primary responsibility for organizing categorizing uploading and maintaining both digital and physical legal files within the departments document management systems (DMS) and physical archives.
- Record-Keeping & Compliance: Ensure all corporate records contractual agreements and regulatory submissions are accurate up-to-date and readily retrievable for audits or internal reviews.
- Submission & Filing: Prepare and coordinate the submission of legal documents to relevant government authorities registries (e.g. Company Registrar) and other external bodies in Sri Lanka ensuring all deadlines are met.
- Legal Research Support: Conduct basic legal research to verify facts support document accuracy or gather information relevant to ongoing legal matters.
- Correspondence Management: Assist in managing legal correspondence including drafting routine letters organizing incoming mail and preparing outgoing mail and couriers for legal filings.
- Process Improvement: Contribute to the development and refinement of documentation processes and best practices within the legal department to enhance efficiency and accuracy.
- Administrative Support: Provide general administrative support to the legal team as needed including scheduling meeting coordination and expense processing.
