Role Profile
Within Global Occupier Services (GOS) our Lease Administration team ensures that our clients portfolios are supported by data accuracy timely communication and proactive issue resolution. As a Helpdesk Specialist youll operate at the intersection of client support data governance and real estate coordinationliaising across internal teams landlords tenants and external service partners. Youll play a key role in the smooth delivery of services and support process improvement initiatives that enhance operational excellence.
Core Responsibilities
Act as the first point of contact for property maintenance-related helpdesk request
Liaise via email or phone with landlords tenants and external agents to resolve issues
Review lease documents to determine maintenance responsibilities
Coordinate property inspections and ensure compliance with security procedures
Maintain and update records of maintenance inspections and jobs
Log external Facilities Management jobs monitor deadlines and ensure quality reporting
Source and manage leases plans and property documentation
Maintain shared inboxes and ticketing systems according to KPIs
Generate monthly KPI and performance reports
Manage individual workload and assist junior team members
Contribute to team knowledge sharing training and onboarding
Support system testing and process improvements
Attend recurring and ad-hoc team and client meetings
Maintain training documentation and ensure updates (e.g. L5 documents)
Requirements
Bachelors or Masters degree in a relevant field
Minimum 2 years experience in client/customer care or real estate operations in an international environment
Strong IT literacy including upper-intermediate MS Office proficiency
Fluent in English (upper-intermediate) and German or French (intermediate)
Outstanding written and verbal communication skills
Sharp analytical and problem-solving abilities
Ability to work independently and collaboratively within a team
Strong work ethic and flexible mindset in dynamic environments
High-pressure task prioritization and execution
