Role Profile

Within Global Occupier Services (GOS) our Lease Administration team ensures that our clients portfolios are supported by data accuracy timely communication and proactive issue resolution. As a Helpdesk Specialist youll operate at the intersection of client support data governance and real estate coordinationliaising across internal teams landlords tenants and external service partners. Youll play a key role in the smooth delivery of services and support process improvement initiatives that enhance operational excellence.

Core Responsibilities

  • Act as the first point of contact for property maintenance-related helpdesk request

  • Liaise via email or phone with landlords tenants and external agents to resolve issues

  • Review lease documents to determine maintenance responsibilities

  • Coordinate property inspections and ensure compliance with security procedures

  • Maintain and update records of maintenance inspections and jobs

  • Log external Facilities Management jobs monitor deadlines and ensure quality reporting

  • Source and manage leases plans and property documentation

  • Maintain shared inboxes and ticketing systems according to KPIs

  • Generate monthly KPI and performance reports

  • Manage individual workload and assist junior team members

  • Contribute to team knowledge sharing training and onboarding

  • Support system testing and process improvements

  • Attend recurring and ad-hoc team and client meetings

  • Maintain training documentation and ensure updates (e.g. L5 documents)

Requirements

  • Bachelors or Masters degree in a relevant field

  • Minimum 2 years experience in client/customer care or real estate operations in an international environment

  • Strong IT literacy including upper-intermediate MS Office proficiency

  • Fluent in English (upper-intermediate) and German or French (intermediate)

  • Outstanding written and verbal communication skills

  • Sharp analytical and problem-solving abilities

  • Ability to work independently and collaboratively within a team

  • Strong work ethic and flexible mindset in dynamic environments

  • High-pressure task prioritization and execution
