About the Position:
Capital Programs and Facilities Management (CPFM) is committed to planning developing and maintaining a safe sustainable and high-quality learning and working environment for the campus community. Facilities Management provides oversight of university resources and assets and is responsible for the development of the Universitys facilities including land use planning capital improvement project development construction as well as facilities operations and maintenance including custodial services landscape services building trade services mechanical and electrical and recycling services. We seek an exceptional individual to join our Service Center team as the Facilities Service Center Analyst (Administrative Analyst/Specialist - Non-Exempt). The ideal candidate in this role should have a positive attitude and an active energetic mind characterized by highly ethical practices and a commitment to diversity openness flexibility integrity.
Under the supervision of the Administrative Services Operations Manager the Facilities Service Center Analyst performs a wide range of specialized and analytical duties in support of Capital Programs and Facilities Management Service Center. Works in a lead capacity and is responsible for the day-to-day operations of the Service Center which is a central call and dispatch center for all incoming campus requests for facilities maintenance repairs minor projects renovations and campus events. Provides direction training and oversight to Service Center staff and student assistants.
Provides technical and administrative support for department-wide management information and work order systems. Develops and implements processes procedures and workflow for service requests and department-wide service delivery. Implements strategies and best practices for improved service delivery. Provides excellent customer service and ensures that all service requests including emergency calls are reviewed tracked and handled through completion. Responds to tracks and monitors customer inquiries issues complaints and needs as it relates to Campus buildings grounds and facilities. Establishes processes and systems for tracking analyzing and reporting data related to service levels work orders facilities performance maintenance and repairs. Leads and coordinates various departmental projects. Serves as primary contact for campus activities and events that require facilities support. Conducts annual audits of work order data and provides reports and recommendations on facilities and program performance and customer satisfaction. Utilizes web-based applications and technologies to improve customer service. Oversees high sensitivity and urgent calls or problems. Takes Lead role in communication and coordination with campus Vice President Offices and Academic Deans. Provides regular reports and updates to respective entities regarding project and service updates. Other duties as assigned.
Essential Qualifications
Bachelors degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study analysis evaluation development or improvement of administrative policies procedures practices or programs. Working knowledge of the general practices program or administrative specialty. Basic knowledge of and the ability to apply fundamental concepts. Working knowledge of budget policies and procedures. Ability to learn interpret and apply a wide variety of policies and procedures relating to and impacting the applicable program organizational unit or administrative specialty. Knowledge of and the ability to apply basic methods and procedures used for research and statistical analysis. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques. Ability to make independent decisions exercise sound judgment handle multiple priorities and organize and plan work assignments. Ability to compile write and present reports related to program or administrative specialty. Demonstrated ability to establish and maintain cooperative working relationships.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment which may be rescinded if the background check reveals disqualifying information and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.
Preferred Qualifications
Experience working with Computerized Maintenance Management Systems (CMMS) to manage and track maintenance activities efficiently. Experience in a high-volume Facilities Management call center demonstrating the ability to prioritize and respond to service requests effectively. Familiarity with Dropbox is preferred particularly for organizing and sharing documents in a collaborative setting. A strong understanding of the structure and operational environment of higher education institutions.
License/Certifications
A valid California drivers license.
