The Opportunity
We are seeking a Support Oversight Supervisor to join our position will be based in our Boston position will supervise the day-to-day activities coordinate day-to-day coverage needs and oversee the daily operations of the Paralegal Services and Administrative Support Departments (the Departments). Additional responsibilities include but are not limited to: recruitment training and employee development conflict resolution and performance management. Responsibilities
- Collaborates with attorneys and management team to coordinate workflow across the Departments and staffs paralegals on cases and deals both long-term and short-term.
- Coordinates paralegal staffing with supervisors and managers in other offices.
- Supervises day-to-day activities of employees in the Departments.
- Oversees employee work performance and provides guidance in the resolution of problems.
- Monitors time attendance overtime absences and expense reports to ensure accuracy and compliance with Firm policies.
- Supervises and approves the timekeeping process.
- Reviews disbursement reports to ensure appropriate billing.
- Actively monitors paralegal utilization and productivity.
- Participates in the interviewing selection and training process of Department members.
- Oversees the interim and annual review processes for members in the Departments.
- Manages the Paralegal Services Mentorship Program for the Boston office.
- Effectively utilizes the Firms performance management process to communicate performance expectations monitor performance coach employees and manage unsatisfactory performance.
- Provides leadership and continued professional development for the Departments including the advancement of training initiatives.
- Collaborates with various department managers in the Boston office to further improve overall operational efficiencies.
- Recommends guidelines and practices to promote efficiency effectiveness excellent customer service and improved employee relations in alignment with the Firms Core Values.
- Ensures accurate and timely responses to requests for Department services.
- Identifies issues and needs across the Departments and communicates same to the Office Administrative Director Director of Paralegal Services and/or Assistant Director of Global Administrative Support when and as appropriate.
- Meets with attorneys and Department members regularly to determine the operational support required for new matters.
- Ensures current knowledge of Firm policies and practices for staff current knowledge of industry trends and continued professional development for staff.
- Actively seeks out alternative methods and/or best practices for all workflow and procedures.
- Develops creative solutions when issues arise that prevent Departmental goals from being met.
- Regularly updates and refines new-hire and on-going training materials and effectively implements new methods and/or improves processes relevant to this area.
- Demonstrates knowledge of the litigation process and case management skills as well as familiarity with corporate transactions.
- Recommends ensures the implementation of and participates in collaboration with the Human Resources Department in the disciplinary action and termination of employment processes.
- Manages Firm resources responsibly.
- Complies with and understands Firm operations policies and procedures.
- Performs other related duties as assigned.

- Knowledge of relevant firm computer software programs (e.g. Outlook Excel PowerPoint) with the ability to learn new software and operating systems

- Excellent analytical troubleshooting organizational and planning skills
- Demonstrated experience with high-level coordination

- Ability to work well in a demanding and fast-paced environment

Education / Experience
- Bachelors degree
- Minimum of five years of paralegal and/or administrative support experience in a law firm environment with demonstrated leadership and high-level coordination skills
