Job purpose tasks and responsibilities

Our Meetings & Events Specialist will be responsible for assisting in the planning and execution of meetings or special events. Youll be responsible for the oversight and coordination of the following key areas ensuring all event-related activities are executed smoothly on schedule and in alignment with FRAs goals.

Your responsibilities will include:

  • Assisting in the planning and coordination of conference events speaker coordination and logistical arrangements.
  • Supporting the implementation of event technology solutions and tools to streamline registration attendee engagement and post-event evaluation processes.
  • Providing administrative support to the conference team including scheduling meetings collecting and maintaining speaker materials preparing materials and maintaining project documentation.
  • Managing speaker information in conference databases and ensures attendees have accurate up-to-date information on speaker bios.
  • Serving as a primary point of contact for conference speakers and provide responsive high-quality customer service.
  • Delivering approved banners and social media content to speakers to encourage promotion of the conference event/their conference session.
  • Assisting with onsite event logistics including registration setup speaker and attendee check-in room setup audiovisual support and exhibitor coordination
  • Providing onsite support to speakers sponsors and exhibitors addressing their needs and ensuring a positive experience throughout the event.
  • Handling onsite inquiries troubleshoot issues and resolve any concerns or emergencies that may arise during conference events.
  • Managing virtual events and virtual conferencing platforms.

Essential and desirable capabilities

We always support colleagues to develop their skills but to be successful in this job you really do need to already be able to tick most of these boxes...

  • Strong experience in an event operations or similar role.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and comfortable with tools like Eventbrite Zoom Salesforce and project management systems.
  • Highly organized when prioritizing tasks to meet deadlines in a fast-paced environment.
  • The ability to work independently stay focused and drive projects forward.
  • Adaptable to changes or last-minute needs and address these with professionalism and grace.
  • Collaborative to thrive in a team environment building relationships across departments and with external partners.
  • Detail oriented to catch small but important mistakes before they go public.
  • Diplomacy when navigating high-pressure or high-stakes situations with grace.
  • Resilience to keep energy high even when things dont go according to plan.
  • Curiosity to actively seek out trends tools and best practices in the events space.
