Job Description
Reporting to the Lead Administrative Manager the Undergraduate Operations Assistant plays a vital role in supporting the daily operations and student engagement initiatives of Undergraduate Programs in the Pamplin College of Business. This position serves as a primary point of contact for students faculty staff and visitors ensuring professional and efficient front office operations. The Undergraduate Operations Assistant also provides a broad range of administrative support including financial processing event planning and coordination recruitment and outreach logistics and student engagement programming. The ideal candidate is organized detail-oriented proactive and able to manage multiple tasks in a fast-paced student-centered environment. This position is expected to contribute to the Undergraduate Programs team with a spirit of collaboration and student care.
To ensure comprehensive training and integration into our college culture the Undergraduate Operations Assistant will be fully on-site for the first six months. After this period the role may shift to a hybrid schedule with up to one day of telework per week subject to departmental needs.
Required Qualifications
Demonstrated administrative or office experience in a professional setting.
Experience using Microsoft Office Suite (Word Excel Outlook PowerPoint).
Excellent communication and interpersonal skills; ability to interact effectively with individuals across various roles and backgrounds.
Strong organizational and time-management skills with the ability to prioritize multiple tasks and meet deadlines.
Ability to work independently and collaboratively in a team environment.
Preferred Qualifications
Experience working in a college or university setting particularly in student services events or outreach.
Commitment to maintaining confidentiality and upholding FERPA regulations.
Ability to provide excellent customer service and respond professionally to inquiries in person over the phone and via email.
Experience with event coordination and support including logistics communication and on-site assistance.
Experience in marketing or communications support (e.g. newsletters social media email communication).
