Job Description

For Linklaters in Warsaw we are currently recruiting for the Reward Assistant role.

You will be responsible for

  • Managing monthly reporting processes and ensuring timely accurate delivery of benefit information to payroll and vendors.

  • Performing regular data checks and reconciliations across HR and vendor systems to maintain information accuracy.

  • Reconciling and processing vendor invoices including overseeing partner benefit payments and handling partner queries.

  • Providing annual benefit recharges and year-end accruals to the finance team.

  • Supporting annual benefit renewals by managing data and liaising with vendors for UK staff and global partners.

  • Monitoring team inbox and responding to benefit queries from employees and partners escalating complex cases as needed and collaborating on effective solutions.

  • Identifying recurring issues or questions to enhance benefit communications and propose improvements to ways of working.

  • Maintaining and updating the online benefits portal; ensuring data accuracy resolving system issues and supporting employees and partners with portal queries.

  • Assisting with the development and rollout of employee and partner communications to maximise engagement with benefits including presenting overviews to new joiners or trainees.

  • Providing general administrative support to the Reward team including attending benefit supplier meetings and assisting with ad-hoc projects.

Apply if you

  • Have min. 1 year of experience in an administrative role preferably within an international environment. Experience in Benefits Reward or HR is an advantage

  • Have strong analytical and Excel skills (including pivot tables and lookups)

  • Demonstrate attention to detail and problem-solving abilities

  • Possess excellent communication and organisation skills

  • Show initiative and adaptability in a collaborative environment

  • Are comfortable using HR systems (Workday or similar)

  • Are fluent in English

Location

  • Warsaw (hybrid model 2 days per week at the office)

Working hours:

  • 10:00 - 18:15
