Description

DESCRIPTION

The College of Education seeks a proactive detail-oriented Administrative Assistant to provide essential support for program operations student services and faculty needs. This part-time hourly position is ideal for someone who thrives in a dynamic environment and values both structure and flexibility. The Administrative Assistant will play a key role in managing documentation communication and organizational processes that are vital to the success of our students faculty and external partners.

RESPONSIBILITIES

  • Distribute and manage Memoranda of Understanding (MOUs) for interns and internship certificate students.
  • Update and maintain student teacher/intern and mentor handbooks.
  • Serve as a central point of contact for incoming calls providing accurate program information and directing inquiries appropriately.
  • Collect and organize forms certification documentation background checks and TB shot records.
  • Prepare and distribute new student packets.
  • Assist with adjunct and mentor contracts.
  • Organize files and establish organizational procedures.
  • Maintain state department documentation and records.
  • Contact prospective students to answer questions and explain online program pathways.
  • Support regular communication with students including sending monthly program updates quarterly newsletters and assisting with event planning.
  • Supports NGUs mission statement and core values commitment to a Christian lifestyle and character in keeping with a biblical model.
  • Affirm an understanding of the Baptist Faith & Message 2000
  • Affirm understanding of the Universitys Statement on Human Flourishing
  • Agree to abide by the employee handbooks including community standards agreements.

PHYSICAL REQUIREMENTS:

  • Hearing: Hear well enough to communicate with students visitors co-workers and vendors
  • Dexterity: Grasping feeling writing type and use the telephone copier and computer systems
  • Mobility: Stand for periods of time; move between departments and areas on campus
  • Talking: Frequently convey detailed accurate and important information in a manner that can be clearly understood
  • Cognitive/Emotional: Ability to critically think and concentrate. Must be able to adapt and respond quickly to the needs of students faculty and co-workers

WORK SCHEDULE

Brashier campus hours are Monday and Tuesday to 7 a.m. until 9 p.m. Wednesday and Thursday to 7 a.m. until 7 p.m. and Friday to 7 a.m. until 5 p.m. Hours are subject to change.

The hours listed above are only to communicate the building availability. Once a candidate has been selected a regular schedule will be set within normal business hours.

WORKING RELATIONSHIPS

  • The academic secretary reports to the Dean of the College of Education. The direct report will be the College of Education Program Directors both Graduate and Online

TRAVEL

  • There are no requirements for travel in this position.

Qualifications

  • High school diploma: some college coursework preferred.
  • Previous administrative or office experience preferably in an educational setting.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word Excel Outlook) and ability to learn new software as needed.
  • Ability to handle confidential information with discretion.
  • Flexibility and adaptability to changing priorities and schedules.
  • Strong interpersonal skills and customer service orientation.
