Were seeking a highly organized and resourceful Maintenance Coordinator to serve as the first point of contact for incoming work orders from restaurant and retail clients. This role blends operations coordination dispatch and customer service in a fast-paced environment. You will manage service requests from initiation through completion or escalationensuring timely communication vendor coordination and service quality.

Serve as the first point of contact for repair and maintenance work orders across platforms.
Clarify and confirm issues with store or property managers to ensure accurate service dispatch.
Dispatch and schedule technicians or vendors and manage the work order lifecycle to completion or escalation.
Maintain accurate tracking and documentation of issues status updates resolutions and next steps.
Oversee and manage vendor relationships including onboarding compliance tracking and performance follow-up.
Ensure quality control of repairs by coordinating follow-ups and addressing client concerns.
Monitor ongoing jobs to ensure they meet service-level agreements and client expectations.
Apply project management principles to improve workflow efficiency and service delivery.
Collaborate with internal teams and clients maintaining open communication and professional rapport.
12 years of experience in dispatch account coordination or facilities maintenance operations
Experience managing repairs and maintenance requests in the restaurant retail commercial or multifamily industry
Strong verbal and written communication skills
Effective problem-solving and project management skills
Ability to multitask in a fast-paced high-volume environment
Availability for on-call rotation
Proficiency in tools such as:
Google Workspace
Slack
Zendesk Salesforce or similar platforms
Direct experience in repairs and maintenance coordination
Familiarity with third-party platforms like Service Channel AppFolio EcoTrack
Experience with vendor sourcing invoicing quote generation and service contract handling
Background in HVAC/R electrical plumbing or general handyman services
Prior experience at companies like Cushman & Wakefield CBRE or in facilities management
Work in a remote-first mission-driven startup environment
Play a key role in ensuring seamless maintenance operations for well-known restaurant and retail clients
