The Business Support Coordinator provides accurate and efficient administrative support to the General Manager and across multiple departments such as Operations Engineering Safety & Security HR & Finance ensuring the smooth execution of systems and processes. This role contributes to the overall operational effectiveness of the hotel through reliability strong attention to detail and a consistent focus on supporting core business functions.
What will I be doing
Administrative Excellence
- Be a dependable and proactive team player who supports multiple departments with administrative tasks
- Maintain a high level of accuracy and attention to detail in all work
- Demonstrate professionalism and discretion when handling sensitive information
- Be flexible and adaptable to shifting priorities and departmental needs
Process & System Administration
- Assist in the maintenance and updating of departmental systems and databases (e.g. HRIS procurement maintenance logs financial trackers)
- Generate reports compile data and support documentation needs for audits meetings and compliance
- Support onboarding processes by preparing documentation system access and training schedules
- Coordinate internal communications and scheduling across departments
- Ensure filing systems are organized and up to date
Cross-Departmental Collaboration
- Provide administrative support to Operations Engineering Facility Operations General Management HR and Finance
- Liaise with department heads to understand and prioritize support needs
- Assist in the coordination of internal events training sessions and compliance activities
- Support procurement and inventory tracking processes as required
- Help ensure that internal processes are followed consistently and efficiently
Tools & Technology
- Be proficient in Microsoft Office Suite (Excel Word Outlook PowerPoint) and other relevant systems
- Learn and use hotel-specific software and platforms as required
- Troubleshoot basic system issues and escalate technical problems appropriately
General Responsibilities
- Maintain confidentiality and integrity in all administrative tasks
- Uphold brand standards and internal policies in all work
- Be willing to assist with ad hoc projects and tasks as assigned by department heads
- Be a reliable point of contact for administrative queries and support

- Experience in hotel operational roles (e.g. - Front Office F&B) preferred.
- Hospitality / travel / leisure industry professional experience required.
- Proficient in Microsoft Office applications.
- Resourcefulcreativeand able to maintain flexibility.
- Working experience within Hilton Group preferred.
