Part-time Coordinator of Student Services
Part-time Administrator (Level 14)
Hourly Range: $27.00-$29.00 (hourly rate is commensurate on experience)
Reports to: Senior Director of the Pottstown Campus Operations
FLSA Status: Non-Exempt
This position will be open until filled. Review of applications will take place after Sunday August 31 2025.
Working hours are from 2:00pm-7:00pm (Monday-Thursday) and Fridays from 12:00-5:00pm with Saturdays required as needed but especially during peak registration times.
*This position has college-wide responsibilities and requires travel between all campuses and off-site locations. The primary office location is the Pottstown campus.
**This position requires the PA Child Abuse PA State Police and FBI Fingerprinting clearances.
Basic Purpose:
This position reports to the Senior Director of the Pottstown Campus Operations and is primarily responsible for the coordination of Student Services Resource Center (SSRC) Student Services (SS) Front Desk Federal Work study student employees Student Ambassadors and Student Services Assistant within the Pottstown Student Services Center. This position also provides back-up coverage to Pottstown Student Services areas as needed and works collaboratively with other departments to ensure student success. This position has the responsibility to develop and coordinate a comprehensive college-wide approach to addressing the needs of students to strengthen enrollment and registration improve retention and increase academic success. This position includes evening administrative coverage responsibilities for the Enrollment Services Area. Assists with processing requests as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Hire supervise and evaluate Pottstown support staff to ensure quality service is provided to students. Foster an environment of a student focused culture. Establish and adhere to staff coaching schedule to include staff observation quality review and goal setting for improved performance. Coach and develop Pottstown team members by providing consistent support and direction that emphasizes the importance of service and develops skills that lead to overall success. Responsible for staff scheduling attendance tracking and coordinating with other areas for departmental coverage. Work with training staff to ensure training is provided as needed.
- Point of contact for escalated student issues for Enrollment Services Department. Research identify solutions and resolve satisfactorily with student. Based on findings look for opportunities to improve process. Will be administrator on duty for evenings in Pottstown and responsible for handling any challenging student or visitor issues facility problems or other escalated matters that may arise. Work with staff in other departments to resolve and notify leadership team when warranted.
- Supports the development and coordination of a comprehensive college-wide approach to addressing the needs of students to strengthen enrollment and registration improve retention and increase academic success by working with staff to provide assistance in accessing academic and support services to address deficiencies and issues that would impact enrollment and retention; maintaining records on student meetings and recommendations; maintaining student data for reporting outcomes; working collaboratively with all departments to ensure smooth delivery of enrollment services and activities related to student access and retention.
- Evaluate existing processes and provide documentation with process mapping and detailed instructions. Identify any trends from review of data and make appropriate recommendations for changes to be proactive with enhanced communication or education for students. Prepare process reports for leadership team to include process assessments volume and recommendations of innovative and technical solutions to improve operational effectiveness with focus on impact to service provided to the student.
- Plan coordinate and track outreach initiatives to students by use of phone text email and any other approved forms of communication. Review data and provide weekly reporting of outreach initiatives with leadership and staff. Use data to determine further strategies to support the success of the outreach initiatives. Support Admissions and Recruitment outreach campaigns.
- It has college-wide responsibilities and requires travel between all campuses and off-site locations. Requires evening and weekend hours as needed. Serve on division and college committees. Performs other duties as assigned.
- Recruit oversee and mentor Federal Work-Study students at the Pottstown Campus providing guidance and training to ensure their success in assigned roles. Effectively manage their performance and workload ensuring alignment with departmental objectives. Review verify and process timecards for accurate submission in accordance with institutional policies and deadlines.
Education/Training/Work Experience:
- Bachelors Degree required.
- 2 years of Higher Education Experience (Community College experience preferred)
- Minimum of 3 years supervisory experience preferred
- 2 years of processing experience with system optimization work preferred
2. Specialized Knowledge & Skills:
- Understanding of Community College philosophy practice and population
- Excellent written and oral communication skills; highly organized
- Advanced skills in Microsoft Office including Outlook Excel Word and PowerPoint.
- Familiarity with records/registration systems (Colleague preferred)
- Customer service experience
