Job Summary:

The Strategic Engagement and Initiatives (SEI) Director provides core operational and relationship management support which include developing managing and helping to implement critical processes systems and structures that help achieve team goals. The SEI Director is responsible for project coordination and will ensure strong project management and the efficient and effective use of CFP resources. This position will keep team efforts aligned and on track to achieve project-specific goals as well as support broader efforts within SEI and achievement of Caseys organizational objectives. It will support the team in conceiving developing and managing a national portfolio of complex projects partnerships relationships and initiatives.

Essential Responsibilities:

RELATIONSHIP MANAGEMENT SUPPORT PROJECT COORDINATION ADMINISTRATION & OVERSIGHT: Advances project coordination and management of all phases of assigned work efforts including relationship management with internal and external colleagues partners and vendors. Facilitate regularly scheduled project status check-ins with team leadership utilizing project management techniques to make adjustments mid-course corrections and adaptions to work efforts and approaches to achieve desired outcomes.

  • Effectively collaborate and partner with team members colleagues and broad range of stakeholders on national state and local levels to support success of projects partnerships relationships initiatives and collaborations.
  • Ensure that the day-to-day operational and tactical aspects of projects are effectively managed including meeting minutes/summaries agendas and action steps project planning and other reports. Act as a liaison to internal staff and external partners keeping them up to date on project statuses (including detailed information about activities timelines and deliverables) in a collaborative manner that achieves positive results.
  • Develops and manages the process for developing new tools to support responding to requests and creates various reports for leadership inclusive of product/project analytics Tableau charts tracker reports online feedback forms etc.

INFORMATION DEVELOPMENT ANALYSIS & SHARING: Conduct multiple research and analysis projects related to the compilation of data and information related to a) specific issues or topics related to strategic initiatives being developed and b) philanthropic entities and investments nationally and in specific jurisdictions.

  • Create briefing documents as needed to support organizational leadership in preparation for engaging in new initiatives jurisdictions or with other local state or national leaders or leadership groups. These briefings may be related to specific subject areas related to specific jurisdictions or existing organizations or collaborative work efforts and require compiling organizing and summarizing data from completed research or other published documents.
  • Co-lead in the designing updating cataloging reporting resource gathering and CQI processes for (a) internal SharePoint and other team or project sites including maintaining and updating a tracker of all requests for assistance (b) external SharePoint or other sites for partners and contractors to manage project schedules and deliverables; and (c) resources for learning collaboratives and support ongoing project communication.

BUDGET PLANNING AND CONTRACTING: Helps other team members to develop the annual budget and receive timely invoices. Collaborates on and supports the development/management of contracts sponsorship partnership and collaboration agreements in consultation with team leadership. This includes monitoring progress reports expenditures and payment schedules.

LOGISTIC & ADMINISTRATIVE SUPPORT: Supports the team calendar event logistics and travel schedule. Works closely with the work unit leadership team and other internal and external parties to ensure a well-coordinated schedule. Develops and maintains work unit administrative processes ensuring alignment with Casey policies and work unit goals. Serves as the subject matter expert on administrative issues -- provides coaching and guidance to other administrative staff as needed.

EVENT MANAGEMENT: Host manage and facilitate small and large internal and external webinars events and meetings for the team and in partnership with other organizations and CFP work units. This includes the technical aspect of setting up the session; managing registrations and related reporting survey and polling development; preparing presenters and coaching support staff; managing legal consent/recording requirements and other permissions or media consents; gathering internal and external documents; managing resource-sharing sites; and summarizing key notes chat discussions and themes.

CROSS-TEAM WORK: Offer multi-faceted support for strategic priority projects led or co-led by other units and other support duties as assigned.

Qualifications:

  • Bachelors Degree along with a minimum of seven years of relevant project management experience required.
  • Engage effectively at all levels and collaborate productively with peers partners leaders staff and consultants; exercise sound judgment and influence appropriately to drive the work forward.
  • Background in project management coordination of initiatives and administration of operational strategies to support team and project-specific effectiveness required. Proven ability to be highly organized and detail-orientated so as to oversee key projects both internal and external to the organization.
  • Relationship management skills are essential which include active listening clear communication ability to engage and build trust with new and existing partners as well as understand their needs negotiate conflict constructively ask questions and recognize emotions in others.
  • Must be assertive in setting and maintaining deadlines and assuring quality in managing projects. Ability to be flexible and adaptable bring critical thinking skills and juggle multiple priorities.
  • Commitment to Caseys core values around diversity equity anti-racism and anti-discrimination; innovation; relationships; and stewardship required.
  • Experience in Internet research and solid working knowledge of MS Office (Word Excel Outlook PowerPoint PageMaker SharePoint etc.) external scheduling tools (i.e. doodle poll calendy etc.) and Zoom required. Ability to learn other pertinent software programs as required.
  • Ability to protect the confidentiality of sensitive information by learning and following all relevant policies and protocols and using sound judgment in the handling and sharing of that information.
  • Physical requirements include the ability to lift and reach for light objects; close visual acuity to prepare and analyze data text and figures; ability to type utilizing a computer keyboard; ability to travel to outside locations; and the ability to work at a computer for extended periods of time as a primary job function.
  • Local travel as well as occasional out of town travel may be required. Driving on Casey business may require use of personal vehicle; adherence to vehicle safety guidelines and qualification for insurance is required.

The typical hiring range for this position Seattle WA is $121550 to $143000. The full salary range for the role is $121550 to $164450. Employees that meet certain tenure qualifiers are eligible for up to eight weeks of parental leave for the birth or placement of a child for adoption or foster care. After the completion of 10 years of continuous full-time employment employees in good standing are eligible for a three-month sabbatical with pay.
