Manage event planning for coordination of conferences events and scheduling with internal and external clients. Act as a liaison with other university departments to facilitate conferences and events. Manage and supervise the Roo Lounge student staff.
Manage and administer software packages associated with scheduling and event planning. Supervise the Coordinator Scheduling & Events.
Essential Functions:
30% Facilitate event planning meetings and effectively coordinate information with Operations & Event Support Programming andCatering; advise clients as needed; prepare set-up diagrams and coordinate the enforcement of facility policies and procedures along with customer service initiatives. Maintain working relationships with campus and marketing efforts to promote use of the Student Union facility. Utilize Social Tables diagramming software.
30% Schedule Student Union space for departments and student organizations utilizing the current scheduling event software and Presence (RooConnect) scheduling program. Oversee the sueventplanning reservation email process scheduling. Responsible for management of event planning software used for event and meeting spaces within the union/outdoor assist with coordinating
system configuration and trainings of all appropriate Student Union staff and campus users in its functions. Supervise the Coordinator Schedule & Events.
15% Manage the administration of the Roo Lounge (game room). Oversee the student managers and student assistants including hiring training evaluating and supervision.
10% Responsible for generating revenue. Coordinate the billing and reconciliation process of billing for departments with the Administrative Assistant and department Financial Specialist. Coordinate the billing and reconciliation process of the student organizations and external clients as needed.
5% Generates information and space-use reports as required. Lead assessment initiatives for Student Union meeting/eventspace event planning and Roo Lounge.
5% Assist the Dir Student Union with special projects and other duties as assigned. Assisting and supporting external clients from Conference & Event Services as needed.
5% Participate in the department student employment program to help develop mentor and retain student employees.
Education: Requires a relevant Bachelors Degree.
Experience: Requires a minimum two years of experience in communications event planning or management. Experience in a student union or educational setting is preferred. Supervisory experience required and demonstrated leaderships skills preferred. Degree in business management marketing communications or related area preferred. Masters degree in Higher Education Administration preferred. Relevant Graduate Assistant experience will be considered.
