Description


The Administrative Division is seeking a reliable an organized detail-oriented and customer-focused Administrative Assistant to provide front desk coverage and serve as the first point of contact for customers and community members - supporting the vital infrastructure services our district provides.

In this role you will deliver courteous professional assistance both in person over the phone and via email helping direct inquiries and provide information. Beyond front desk responsibilities you will play a key role in supporting daily office operations. This includes assisting with records management coordinating mail and office supplies and ensuring compliance with organizational policies and procedures. Your contributions will help ensure the smooth and efficient functioning of our team and the high-quality service we provide across the organization.

The Administrative Services Division plays a critical role in supporting the daily operations of our organization keeping our internal systems efficient and effective.

The Administrative Division is responsible for:

  • Records Management
  • Facilities Management
  • Contract Management
  • Fleet Management
  • IT Support Services
  • Administrative support for the Hilltop and Treatment Plant offices

We are looking for someone who is:

What you will typically be responsible for:
  • General office duties such as typing scanning proofreading filing and email correspondence
  • Screening phone calls answering questions taking messages or forwarding to the appropriate person for resolution
  • Checking forms for accuracy and proper completion
  • Assisting in the maintenance of departmental record systems
  • Gathering and summarizing data for departmental reports
  • Assisting in the coordination of meetings
  • Keeping an inventory of office supplies
  • Process purchase order requisitions and invoices

Minimum Qualifications

Any combination of training and experience which demonstrates that a person has obtained the required knowledge and the ability to perform the duties and responsibilities (with reasonable accommodation if needed). A person with the following combined training and experience would typically qualify to compete in a selection process:

Experience: Three (3) years of experience in office support activities involving modern office practices procedures and equipment.

Education: Possession of a high school diploma GED equivalency or a high school proficiency certificate.


License and/or Certificate:Possession of a valid California drivers license OR possession of the ability and means to travel on a flexible schedule as needed.

DesirableQualifications:
  • Experience working with Tyler Technologies Incode Financial System
  • Experience working with Microsoft Office Suite
  • Experience working with
  • Experience working with Video Communication Software such as Zoom Teams
  • Experience in accounts payable processing invoices
  • Basic knowledge of accounting principles

Selection Process:

  1. Application Filing and Evaluation:Applicants will be required to complete a supplemental questionnaire at the time of application applications will be evaluated to determine which candidates will move forward in the next phase of the recruitment process.
  2. Online Multiple-Choice Test: Candidates that demonstrate that they possess the minimum qualifications will be invited to participate in a multiple choice assessment. Candidates invited to take the online skills assessment will need access to a computer and internet as this test will be conducted remotely. Candidates will be evaluated on necessary knowledge and skills that may include but are not limited to clerical skills mathematical ability grammar and vocabulary interpersonal skills and customer service. Candidates must achieve a passing score on the multiple-choice test to participate in the next phase of the selection process which will consist of any or all the following: oral interview performance and/or written exercise.
