Job Description

Administrative Assistant Athletic Department

Job Title: Administrative Assistant Athletic Department
Reports To: Building Principal / Athletic Director

Position Summary

The BNL Athletic Administrative Assistant assists the Athletic Director in the daily operations of the athletic department planning athletic events coordinating schedules and implementing office aspects of the interscholastic high school athletic addition the Athletic Administrative Assistant requires a proficiency in general office tasks and duties as they assists the main office at BNL as the receptionist.

Essential Job Responsibilities

Reception & Communication

  • Greets visitors determine the nature of their business issue visitor passes and direct them appropriately.
  • Answer incoming calls professionally; provide information regarding schedules events policies and procedures.
  • Other duties and resonsiblities assigned by the Building Principal

Administrative Support

  • Disseminate collect and maintain all required student-athlete paperwok i.e. physicals insurance transportation permission forms etc.

  • Disseminate IHSAA materials and enforce IHSAA rules and regulations including player eligibility with AD
  • Confirm student-athlete eligibility before the season begins and monitor eligibility throughout the season
  • Collect rosters and prepare sports programs

Event & Department Support

  • Schedule the Senior Recognition game for all sports
  • Coordinate the ordering of letter jackets letters chevrons award patches a timely manner
  • Assist in day-to-day operation of the high school athletic program
  • Assist AD in scheduling of facilities
  • Game Day programs and processing ticket sales
  • Assist coaches in form collection
  • Receive sort and distribute athletic mail and deliveries
  • Wotk with the Director of Transportation to schedule transportation to and from events

Qualifications & Required Skills

  • High school diploma or equivalent.

  • Valid drivers license.

  • Good attendance record.

  • Proven experience in a professional office setting.

  • Strong computer and office equipment operation skills.

  • Excellent organizational and multitasking abilities.

  • Strong interpersonal and telephone communication skills.

  • Ability to work independently and as part of a team.

  • Effective written and verbal communication skills.
