Role Name: Administrative Assistant
Schedule: Part-time: 20 hours per week 4 hours per day: 7 am - 11 am Monday to Friday

Join a growing construction company with 20 employees that specializes in working with general contractors and public tenders. This is an exciting opportunity to become an integral part of a dynamic team where your organizational skills will directly impact the companys ability to pursue new projects and grow its business. Youll be working closely with the business owner to streamline critical administrative processes that are currently bottlenecking their operations. This role offers the potential to transition to full-time as the partnership develops providing an excellent opportunity to learn about the construction industry while making a meaningful contribution to the companys success.
Responsibilities:
Organize and categorize 50-100 daily emails from general contractors and public tenders
Update and maintain spreadsheets with tender information including due dates and estimated construction timelines
Follow up on submitted quotes with general contractors to gather feedback and confirm receipt
Assist with administrative tasks related to project estimation and bidding processes
Communicate professionally with clients and contractors via email
Support the business owner in identifying viable projects based on schedule and capacity
Scope:
Part-time position: 20 hours per week 4 hours per day
Working in the Atlantic Standard Time zone to align with the clients business hours
Potential for transition to full-time position based on performance and business needs
Opportunity to expand role to support other team members (project manager production manager drafter) as the partnership develops
Remote work arrangement with full access to necessary tools and systems
Initial focus on email management and spreadsheet organization with potential for broader administrative responsibilities
Strong organizational and email management skills
Proficiency with spreadsheet software (Excel/Google Sheets)
Basic understanding of finance or accounting principles for estimates and invoicing
Excellent written communication skills for professional correspondence
Ability to work independently and manage multiple tasks simultaneously
Experience with administrative support roles preferred
Familiarity with construction or contracting industry terminology is a plus
