WHAT WILL YOU DO
As someone with a professional responsive and positive attitude you will be the reliable first point of contact at the Kingston office. As the Office Administrator you will contribute to overall office initiatives logistics and take action to address office-wide situations that need attention. You will work closely with the team of other leaders at the regional office to identify best solutions to office-specific challenges. You will provide in-person reception and broad administrative support under the direction of the Senior Manager of Administration.
JOB DUTIES
Act as the first point of contact for staff on administrative-related issue resolution working with additional levels of support when necessary
Receive screen and redirect visitors company-wide telephone calls e-mails and mail
Arrange and closely monitor incoming and outgoing courier shipments
Support employee onboarding activities
Support Health and Safety and facilities maintenance tasks as directed
Support event planning and boardroom use
Communicate updates and reminders on company intranet site
Provide administrative support for all Cambium service lines following established workflows for report preparation template maintenance et cetera
Maintain office equipment working with service providers when necessary (e.g. photocopier phone system)
Maintain hard copy and digital files; ensure prompt filing and forwarding of correspondence
Lead and/or participate in improvement of administrative procedures
Be aware of administrative expenditures controlling costs when able and notifying manager of variances
Support resolving logistical challenges in a timely and cost-effective manner
Able to help meet client needs even when outside of normal duties and responsibilities
Provide team coverage (vacation etcetera) as needed including occasional travel to other Cambium offices
Identify opportunities to train and develop junior administrative staff
Fulfil health and safety obligations
Ability to provide in-person reception support at the office during Cambiums core hours Note: remote work and/or flexible work hours are not available for this position
3 years of relevant administration experience
A post-secondary diploma or degree in office administration or related discipline
Ability to work independently to troubleshoot problems with excellent reasoning maturity professionalism and discretion
Ability to manage multiple demands effectively and efficiently
Excellent problem-solving reasoning resourcefulness and reliability
Expert organizational skills time management and prioritization abilities with attention to detail
Excellent communication skills with the ability to listen and clarify in all methods with expertise in telephone communication
Excellent written communication skills including expertise in grammar and spelling
Expert and meticulous records maintenance skills
Excellent computer skills with proficiency in Microsoft Office Suite (Outlook Teams) Adobe Acrobat and other project-related software
Ability to work independently while also being able to collaborate as part of a team.
Strong interpersonal skills with the ability build trust and influence
