We are seeking a talented Executive Assistant (EA) with proven experience working with multiple stakeholders and abilities to provide support to senior executive through complex calendar management project management meetings preparation travel planning and doc management. The ideal candidate will help build a positive team environment and establish working relationships inside and outside of the group.
The Executive Assistant Role will also build a strong internal network by acting with a professional and approachable demeanor to be an undirect leader for the General Manager Assistants (GMAs) team. Accompany new GMAs hires during their onboarding and career development. Becoming the point of contact (POC) to share best practices and connecting the dots between people and creating synergies across different teams.
Key job responsibilities
Provide comprehensive calendar management and strategic scheduling support for multiple senior leaders
Coordinate domestic and international travel arrangements including detailed itineraries and logistics
Plan and execute team events including allhands meetings offsites and team building activities
Track and facilitate completion of key deliverables and action items
Process expense reports and manage administrative documentation
Partner with internal teams for space planning facilities and crossfunctional coordination
Organize and maintain team communication channels including newsletters and regular updates
A day in the life
Youll start your day reviewing calendar changes and prioritizing urgent requests. Throughout the day youll coordinate with global stakeholders to schedule meetings across time zones arrange travel logistics and ensure smooth operations for the leadership team. You might also work on planning the next quarterly offsite or coordinating team recognition events.
Experience with clevel executive complex calendar management and expense reporting and business cycle annual meeting planning.
Experience with domestic and/or international travel coordination for one or multiple senior executive roles.
Experience managing vendors and contractors.
Management of budgets for corporate events onsite and offsites meetings.
Experience creating drafts and sending written communications on behalf of leaders.
Proficiency with Microsoft Outlook Word Excel PowerPoint.
Work effectively with international businesses distributed teams and in multiple time zones
Experience in a highgrowth environment within global companies
Drive efficiency onsite and hold vendors/teams accountable for their deliverables
Ability to prioritize and handle multiple assignments at any given time
