PROCUREMENT CONTROLLER
Goals
Be a key contributor in the raw material procurement and supply chain within the Animal Nutrition business ensuring sufficient supply of RM within the timeframe expectations from pre-approved vendors.

PROCUREMENT CONTROLLER
Goals
Be a key contributor in the raw material procurement and supply chain within the Animal Nutrition business ensuring sufficient supply of RM within the timeframe expectations from pre-approved vendors.
Responsibilities
Purchasing
- Obtain quotations from local suppliers using competitive bidding on a regular basis or when needed (new RM sourcing request of the procurement manager).
- Request and update the suppliers price lists on the server on a monthly basis or quarterly basis
- Maintain the trend price file.
- Prepare Purchase Requisition for Raw Materials when needed and/or based on Inventory Controller RM stock requests and send Purchase order accordingly. Arrange the delivery with the supplier. Follow up with the supplier on deliveries and update the Inventory Controller accordingly.
- Arrange deliveries on open contracts when stock if needed by the Brits factory (call-off contracts) upon the Inventory Controller request for stock.
- Arrange stock collection for suppliers that are not on a delivery basis.
- Follow up on Purchase Orders & back orders.
- Monitor RM Needs/usages on a regular basis for specific RM that the Procurement Controller has to arrange sourcing for and/or products that are on call-off (LIST).
- Arrange the monthly import and additives forecast meeting.
Vendor RM Management
- New vendor approval
- liaise with suppliers to obtain all documentation needed for approval and vetting and communicate with the finance department to get approval.
- Ensure new approved vendor is also created on our Quality Sharepoint.
- Ensure availability of and regular updating of COAs V-number certificates TDSs MSDS for approved Raw Material.
- Participate in Suppliers Audit.
- Liaise with supplier should any specific documentation be needed (Quality certification other certification etc)
- Prepare Purchase Requisition in foreign currency.
- Send Import Purchase Order when required and for specific allocated suppliers (Neovia ADM Portugal Suraya).
- Create Import files and maintain physically and on the system (import order schedule).
- Have a constant view on import shipment status shipping dates and arrival dates and communicate to all stakeholders.
- Arrange for Import Permit and Veterinary Import Permits and facilitate payments for these permits.
- Liaise with suppliers and ensure all shipping documentation is correct reviewed and received in time.
- Ensure that shipments are cleared timeously and liaise with clearing agents when needed and/or if specific documentation is needed. Liaise with export clerk on that matter.
- Process import GRVs in the In Transit location
- Liaise with receiving warehouses about incoming shipments share supporting documents with all parties and resolve any stock discrepancies at receiving.
- Prepare import landing costings and submit for approval to Procurement Manager.
- Liaise with export clerk/finance department regarding the posting of all invoices related to imports ensuring posting is done timeously as stock has landed to ensure integrity of inventory quantities and values. Liaison with finance regarding the payment of the import invoices.
- Filling of Import files.
- External RM Warehouses
- Arrange stock transfers and releases from external warehouses to ADM depots (excluding Brits) and release stock for direct customer deliveries when required and optimize load transferred.
- Liaise with external warehouses on arrival of any imported raw material and local raw materials ; making sure that all relevant documentation and references are supplied in time.
- Assist the Inventory Controller if needed on stock discrepancies and variances investigations should there be any during the month or for the monthly stock reconciliation.
- Check the storage charges of the external warehouses monthly in order for finance to post and pay.
