  • POSITION: Administrative Assistant to Human Resources (12-Month)

    REQUIREMENTS:
    • High School Diploma or Equivalent.
    • General knowledge of standard office procedures and practices.
    • Secretarial computer skills and knowledge of a variety of office equipment.
    • Ability to establish and follow detailed work procedures.
    • Must have the personal characteristics necessary for working effectively with the public and school personnel.
    • Flexibility and multi-task oriented.
    LOCATION: Walker-Grant Center

    SALARY: Placement on the School Board Administrative Assistant Salary Scale depends on education and experience.

    PRIMARY FUNCTION:
    To perform varied duties as requested by the Director of Human Resources and the Supervisor of Personnel Services.

    QUALIFICATIONS:
    1. High school diploma or GED certificate.
    2. Ability to maintain confidential information.
    3. Experience in secretarial work.
    4. Good typing and computer skills with working knowledge of Microsoft Office.
    5. Ability to maintain clerical records and to prepare reports from such records.
    6. Good oral and written communication skills.
    7. Good organizational and public relations skills.
    8. Ability to work effectively under pressure.

    GENERAL PERFORMANCE RESPONSIBILITIES:
    1. Handle/screen all incoming personnel calls.
    2. Process all new personnel.
    3. Respond to FMLA requests.
    4. Submit invoices to the Finance Department for payment.
    5. Mail out all substitute information packets.
    6. Assist in personnel filing.
    7. Order supplies as needed for the personnel office.
    8. Type vacancy notices to be posted on website and sent to the schools.
    9. Schedule recruiting trips and make packets.
    10. Update directory as required and other listings.
    11. Process ID badges for employees.
    12. Process all new contracts and appointment slips collect signed documents.
    13. Set up and schedule substitute training workshops.
    14. Set up and schedule all FCPS Job Fairs.
    15. Process Bank of America payments and maintain HR budget.
    16. Perform any other duties as assigned by the Supervisor of Personnel Services or the Director of Human Resources.

    FINGERPRINTING: Responsible for all aspects of the fingerprinting process.
    1. Schedule all fingerprint appointments and reappointments.
    2. Log in all fingerprints before they are submitted electronically to the Virginia State Police and check in the fingerprints when they have been completed.
    3. Report to the Director of Human Resources or Supervisor of Personnel Services any conviction data returned on any employee substitute or on any employee of a program for which FCPS is the fiscal agent.

    CENTRAL REGISTRY: Responsible for all aspects of the central registry process.
    1. Check all central registry forms completely for accuracy.
    2. Log in all central registry forms before sending them off to the Department of Social Services (DSS) and check in all returned forms.
    3. Report to the Director of Human Resources or Supervisor of Personnel Services any founded charges of abuse or neglect returned on any employee substitute or on any employee of a program for which FCPS is the fiscal agent.

    SUBSTITUTES: Responsible for all aspects of the substitute process.
    1. Process all substitute applicants paperwork and make sure that all aspects are complete before placing their name on any substitute list.
    2. Produce a teacher substitute list a cafeteria substitute list and a custodial substitute list on a monthly basis to be distributed to the schools.
    3. Submit a list of substitutes to the Supervisor of Personnel to be sent to the School Board for approval.
    4. Prepare folders and notify teacher substitutes of workshop.
    5. Update substitute information in Frontline.

    EVALUATION: Performance on this job will be evaluated in accordance with School Board policy and administrative regulations on evaluation of classified personnel.
