This is a remote position.
Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.
Responsibilities
- Handle all client inquiries and communications within 24 hours during business days managing both internal and external communications
- Respond to social media comments and direct messages within 1 hour during business hours
- Manage booking and schedule communications coordinating job scheduling in advance considering workloads and travel times
- Process invoices within 48 hours of job completion for one-off jobs and ensure accuracy of monthly recurring invoices
- Maintain accurate job cards and proper job costing allocation to projects
- Manage accounts receivable and payable processes to improve cash flow
- Maximize utilization of ServiceMate platform including document management timesheets and workflow processes
- Maintain all job documentation and compliance records in ServiceMate
- Create and send quotes using ServiceMate system
- Conduct proactive client follow-ups for repeat customers and request Google reviews
- Implement quality control processes and job auditing checklists
- Generate business reports and performance tracking for management decision-making
- Create standard operating procedures and process documentation for all recurring tasks
- Manage complaint resolution and ensure zero client complaints about communications
Scopes:
- Full ownership of client communication management across all channels (email phone social media)
- Complete financial operations including invoicing job costing and accounts management
- ServiceMate platform administration and optimization to maximize feature utilization
- Job scheduling and coordination for both one-off projects and recurring monthly maintenance clients
- Document management and compliance record keeping within ServiceMate and Google Drive systems
- Process creation and implementation for all administrative and operational tasks
- Quality control and audit processes to ensure consistent service delivery
- Business reporting and performance analytics to support management decision-making
- Integration of all business processes into ServiceMate Xero and Google Drive ecosystem
Requirements
- Strong technical aptitude and willingness to learn ServiceMate platform thoroughly
- Experience with job management software or similar business management platforms
- Excellent written and verbal communication skills for client interactions
- Strong organizational skills and attention to detail for financial record keeping
- Ability to work independently and take ownership of processes
- Experience with invoicing accounts receivable/payable processes
- Proficiency with Google Drive and cloud-based document management
- Understanding of job costing and project profitability tracking
- Customer service experience preferably in trades or construction industry
- Ability to create and follow systematic processes and checklists
