Job Summary:
The Admissions Assistant is responsible for switchboard operation and front desk coverage providing support to the Admissions Office including: campus visit coordination admission events support and data entry. This position will also support the admission representatives.
Position Duties:
- Provide switchboard and front desk coverage including answering and directing incoming calls greeting visitors and assisting walk-in students or families.
- Coordinate campus visits by scheduling tours confirming appointments preparing materials and communicating with prospective students and their guests.
- Support admission events through setup registration assistance communication with attendees and on-site coordination.
- Perform accurate data entry into the student information system and CRM maintaining records related to prospective students and outreach.
- Assist admission representatives with travel prep event logistics communication tasks and follow-up with leads or applicants.
- Respond to general inquiries in person over the phone or by email providing accurate and friendly information about the college and admission process.
- Maintain the front desk area and visitor materials ensuring an organized and welcoming environment.
- Help prepare mailings packets and promotional materials for prospective students and outreach efforts.
- Monitor office supplies and promotional materials related to admissions and request restocks as needed.
- Ensure confidentiality of student records and compliance with FERPA and institutional policies.
- Comply with all College policies and procedures
- Perform other duties as assigned by the Director of Student Enrollment & Success in support of the Admissions Office and broader enrollment initiatives.
Required Knowledge and Skills:
- Excellent verbal and written communication skills with a professional and welcoming demeanor.
- Strong customer service skills especially in working with students families and campus guests.
- Ability to operate a multi-line phone system and handle switchboard operations efficiently.
- Strong organizational and time management skills with the ability to prioritize tasks in a busy office environment.
- Proficiency with office technology including Microsoft Office (Word Excel Outlook) and database systems.
- Attention to detail and accuracy in data entry and record keeping.
- Ability to maintain confidentiality and follow FERPA guidelines and institutional policies.
- Comfort working both independently and collaboratively as part of a team.
- Ability to learn and use specialized software such as a student information system (SIS) or customer relationship management (CRM) tool.
- Professional appearance and behavior especially when interacting with the public or representing the Admissions Office.
Required Education Background:
- Associates Degree. Bachelors degree preferred.
Required Experience:
- Experience in an office environment.
Supervisory Requirements: None.
Physical Requirements:
Ability to sit or stand for extended periods of time; ability to move freely around the campus and outreach centers; ability to lift up to 20 pounds; ability to bend stoop reach and grasp as required to perform responsibilities; ability to drive motor vehicle; and ability to work on the computer for long periods of time.
