RESPONSIBILITIES:
- Greet assist and direct all PHMC clients and guests between the hours of 8:30am-5pm.
- Answer and route incoming calls using a multi-line phone system; provide accurate information or redirect inquires appropriately.
- Maintain Awareness of PHMC s programs services and affiliate organizations to effectively address public and internal inquiries.
- Take detailed timely messages and ensure follow up as needed.
- Maintain a clean organized and welcoming reception area at all times.
- Manage voicemail system: check messages daily and forward to appropriate departments promptly.
- Assist with maintaining employee and department directories.
- Prepare monthly Program Contacts Information Spreadsheet for the Facilities Team.
- Prepare Managing Directors expense reports.
- Process departmental invoices ensuring timely coding and submission.
- Monitor and order department office supplies.
- Assist with conference center room scheduling and coordination at both 1500 Market and 4601 Market ensuring proper use and setup.
- Communicate with mail room teams at both sites to relay changes in conference room configurations and ensure timely support.
- Provide clerical/administrative support.
- Assist with additional projects as needed.

Experience:
1 year administrative experience required experience working in a human services organization preferred experience working in a fast-paced environment preferred as well as experience operating multi-line phone system.
Education Requirement:
Associate Degree preferred Bachelors Degree a plus minimum of a high school diploma required.
Salary:
Salary is commensurate with experience.
