Developing and maintaining a community of engaged leadership and event volunteers to the institution and the success of MUSC Foundation and Institutional Advancement.
The Associate Director of Volunteer and Strategic Engagement reports directly to the Director of Donor Relations and Stewardship. This role collaborates with internal partners across the institution and supports a culture of recognition service and meaningful engagement. The Associate Director will be responsible for managing specific programs and projects to advance engagement stewardship and recognition of volunteers. Job Description Summary

The Medical University of South Carolina (MUSC) seeks to engage steward and recognize its leadership and event volunteers according to their interests through meaningful activities that encourage and recognize their long-term support of the institution and the positive impact of their involvement and philanthropy. Developing and maintaining a community of engaged leadership and event volunteers to the institution and the success of MUSC Foundation and Institutional Advancement.

The Associate Director of Volunteer and Strategic Engagement reports directly to the Director of Donor Relations and Stewardship. This role collaborates with internal partners across the institution and supports a culture of recognition service and meaningful engagement. The Associate Director will be responsible for managing specific programs and projects to advanceengagement stewardship and recognition of volunteers. The Associate Director contributes to events communications data management and volunteer stewardship efforts to ensure a cohesive and impactful volunteer experience that aligns with MUSCs philanthropic goals.

Primary Duties and Responsibilities:

Volunteer Engagement and Recognition (35%)

  • Support the planning and coordination of onboarding experiences and ongoing education for leadership and event volunteers including advisory board and committee members.
  • Assist in managing and updating a central repository of advisory board related documents.
  • Assist in managing and updating advisory board rosters and engagement tracking tools to ensure accurate records and activity reporting.
  • Assist in establishing metrics reflecting the impact of volunteers on their respective board(s) as well as the institution.
  • Help develop and maintain resources best practices training materials and institutional guidelines for volunteer participation.
  • Coordinate and develop volunteer communications such as welcome letters thank-you messages and engagement updates in collaboration with the Associate Director and Communications team.
  • Contribute to the implementation of a volunteer recognition strategy that highlights key contributions and celebrates meaningful involvement.
  • Serve or chair working groups/committees as a volunteer engagement representative and lead volunteer engagement training(s) as needed.
  • Working in conjunction with the Director and institutional leadership monitoring policies and procedures related to the management and engagement of volunteers.
  • Working in conjunction with the Director collaborate with development directors to support their work with advisory boards and councils resulting in positive volunteer experience and increased giving.

Event Support and Strategic Engagement (30%)

  • Assist in planning and executing volunteer-facing events and strategic engagement opportunities including advisory board meetings leadership summits related events training and donor engagement initiatives.
  • Coordinate registration and event logistics including briefing materials run-of-show documents and follow-up communications.
  • Work with internal partners to ensure seamless execution and alignment with institutional priorities.
  • Track event metrics prepare summaries and support post-event evaluation efforts.

Board of Visitors: (20%)

  • Supports the Director in redefining the Board of Visitors programing and strategy and aids in implementing new initiatives.
  • Assists the events team in planning and coordinating the Board of Visitors events dinners and meetings. This will include but is not limited to identifying and preparing speakers coordinating venue and vendor options drafting program agendas invitations and fielding communications from Board of Visitors members.
  • Assists with the Board of Visitors work-related travel accommodation and other logistical arrangements.
  • Draft briefing reports as needed for the Board of Visitors events and meetings.

Data Metrics and Systems Support (10%)

  • Assist in maintaining accurate volunteer engagement data in CRM and other relevant systems.
  • Support the collection and analysis of engagement data to assess impact and inform strategy.
  • Help facilitate the use of data for reports presentations and internal briefings.
  • Contribute to regular audits and updates of volunteer records tracking engagement and stewardship touchpoints.

Administrative Management & Collaborative Support (5%)

  • Provide administrative support to the Director including scheduling meeting preparation materials development and special projects.
  • Collaborate with colleagues in Alumni Affairs Annual Giving Planned Giving and Development to support a coordinated approach to volunteer engagement across the institution.
  • Assist with internal training initiatives and roundtable coordination for staff managing volunteers.
  • Oversee Volunteer Engagement Coordinator
  • Perform other duties as assigned to support departmental goals and donor-centered programming.

Minimum Qualifications:

  • Bachelors degree.
  • 3 years of progressively responsible experience in board or volunteer management development communications customer service or related field.

Preferred Qualifications:

  • Excellent written and verbal communication skills.
  • Ability to analyze and present data effectively.
  • Strong interpersonal skills with the ability to influence and drive consensus.
  • Ability to make independent decisions and discernment to know when such independence is warranted.
  • Excellent organizational and project management skills with the ability to handle multiple priorities and to meet deadlines in a fast-paced environment.
  • High level of professionalism discretion diplomacy and customer service.
  • Demonstrated ability to work with diverse populations and a commitment to diversity equity inclusion and belonging.
  • Previous experience managing volunteer groups effectively including advisory boards and councils.
