Job Title: Attendance Secretary - Middle School
POSITION SUMMARY
The primary purpose of Attendance Secretary Middle School is done for the purpose of ensuring accurate attendance accounting within the district; providing general clerical support information and/or direction as may be assigned; resolving attendance related issues; ensuring compliance with state reporting and documenting requirements; and conveying attendance related information to appropriate parties. The Attendance Secretary Middle School reports to the principal or designee and does not supervise others.
ESSENTIAL RESPONSIBILITIES
- Communicates with students teachers parents district employees government agencies etc. for the purpose of resolving problems and coordinating activities and processes regarding student attendance
- Contacts parent/guardian for the purpose of reducing truancy and dropouts.
- Controls student entry and exit from campus during school hours (generating admission slips late notices class release forms etc.) for the purpose of ensuring accurate student attendance reporting.
- Enters student data for the purpose of maintaining real time attendance recording and reporting.
- Maintains documents files and records (power of attorneys absence reports) for the purpose of providing up-to-date reference and audit trail for compliance.
- Monitors assigned district activities and/or program components (incoming mail locker assignments gathering students for testing etc.) for the purpose of coordinating activities and ensuring compliance with established financial legal and/or administrative requirements.
- Operates automated student attendance system and other software as needed for the purpose of accurate tracking and documentation of student attendance information.
- Provides training to new staff as appropriate for the purpose of ensuring accurate attendance accounting.
- Researches discrepancies of attendance information and/or documentation for the purpose of ensuring accuracy and adherence to procedures prior to processing for action.
- Responds to inquiries of staff other educational institutions the public parents and/or students for the purpose of providing information and/or direction.
- Supports assigned school personnel (answer telephones oversee students in the office etc.) for the purpose of ensuring the efficient operation of the site.
- Directs student workers and/or parent volunteers for the purpose of guiding and monitoring their activities.
- Prepares grades and comments of Office Assistant students for the purpose of evaluating their performance.
- Monitors progress report and grade entry. Upon completion of grades prints progress reports and report cards in partnership with lead secretary.
OTHER RESPONSIBILITIES
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
- Maintains consistent and predictable attendance to meet the requirements of the position.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Experience: Prior job related experience paid or volunteer preferably in schools.
Skills: Computer skills knowledge of Google or Microsoft Suite experience with standard office machines telephone and other technology equipment. Excellent interpersonal skills. Excellent oral and written communication including correct use of grammar punctuation and spelling. Excellent secretarial/clerical skills including typing filing organizing and basic arithmetic calculations. Basic accounting and bookkeeping skills.
Abilities: Work harmoniously with others. Work and communicate effectively with students parents and school personnel from diverse cultures or backgrounds in English Spanish or other languages. Work independently without supervision and with minimal oral/written instructions. Ability to sit and/or stand for prolonged periods understand and carry out oral and written instructions maintain confidentiality of student records meet schedules and deadlines read/interpret/apply rules regulations and policies.
Continuing Education/Training Clearances: Pre-employment criminal justice fingerprint clearance and criminal background check.
