Membership Coordinator

Pay: $42000 $50000 annually based on experience
The Membership Coordinator serves as the primary point of contact for YWCA fitness and aquatics members supporting the growth and retention of memberships through excellent customer service strategic outreach and collaborative sales efforts. This role supports front desk operations and contributes to the overall success of the Health & Wellness department by developing membership partnerships engaging current and prospective members and maintaining accurate records and reports. This is a full-time year-round benefits-eligible position.

Serve as the primary contact for prospective and current members via phone email and in-person interactions.
Conduct regular prospective member tours with strong closing techniques.
Follow up with membership leads through cold and warm calls.
Support membership growth through organizational partnerships corporate accounts and community outreach.
Collaborate with the Marketing Manager to support internal and external promotional campaigns.
Track and assess member satisfaction and engagement through surveys reports and follow-up communications.
Train staff on membership promotions and sales techniques.
Maintain knowledge of industry trends and membership pricing strategies.
Hold regular shifts at the front desk to model excellent customer service and stay connected to member needs.
Work with the Health & Wellness team to ensure front desk operations are smooth informed and welcoming.
Accurately process member billing including organizational accounts and scholarship recipients.
Maintain up-to-date and organized membership records using Daxko or other member management software.
Serve as a database administrator and generate regular membership reports.
Monitor merchandise inventory and manage pricing updates.
Respond to and resolve member concerns in a timely and thoughtful manner.
Represent the YWCA at events speaking engagements and tabling opportunities (minimum 2 hours/month).
Develop and promote membership and merchandise offerings for partner organizations.
Advise staff on ways to enhance member experience and retention.
Coordinate with the Marketing Manager on seasonal campaigns and messaging.
Contribute to department planning membership drives and the development of outreach materials.
Train front desk team members on customer service sales strategies and systems use.
Participate as a member of the YWCAs leadership team.
If applicable carry out supervisory responsibilities including hiring onboarding performance evaluation and problem resolution in accordance with YWCA policies.
Bachelors degree in a related field preferred.
At least 3 years of experience in program coordination sales or customer service roles.
Demonstrated success in membership sales or similar environments.
Excellent customer service and interpersonal communication skills.
Ability to de-escalate conflict and respond calmly in challenging situations.
Strong organizational and administrative skills including accurate recordkeeping.
Proficiency in Google Workspace Microsoft Office and a willingness to learn membership database systems (e.g. Daxko).
Bilingual in Spanish is a plus.
This position operates in a front-facing office environment. Must be comfortable working at a desk for long periods and using computers and phones. Occasional lifting and standing are required when giving tours or engaging in physical demonstrations.
Must be able to frequently move throughout the facility provide guided tours and occasionally lift/move objects. This role requires extended periods of standing walking and engaging in conversation.
