MC Support and Business Services
- Lead manage and coordinate the MC Support team ensuring high-quality consistent support to IAGs Management Committee.
- Act as the primary contact for executive support needs including scheduling logistics and administrative coordination to ensure seamless operations.
- Work closely with other business support functions across the wider group ensuring collaboration and consistent support.
- Ensure confidentiality discretion and professionalism in all MC-related activities.
- Foster a strong relationship with IAGs Management Committee to support open and transparent business relationships.
- Promote a positive team culture by role modelling collaborative and proactive behaviours setting clear performance expectations to meet business needs and supporting individual growth and development.
Office and Facilities Management
- Oversee day-to-day operations of the ICAG HQ office at Waterside ensuring a safe efficient and welcoming environment.
- Manage relationships with facilities vendors and service providers including cleaning maintenance and security.
- Ensure compliance with health and safety regulations and internal policies.
General Administration
- Provide administrative support for key business services including reception mailroom and meeting room coordination.
- Act as a central point of contact for employee queries related to office services.
- Support onboarding and offboarding processes from a facilities and logistics perspective.
Continuous Improvement
- Identify opportunities to streamline office processes and improve service delivery.
- Gather feedback from stakeholders and implement changes to enhance the employee experience.
Corporate compliance and assurance
- Ensure compliance with UK GDPR and data privacy regulations across all people function related activities
- Support and co-ordinate HQ Business Continuity Planning which includes ensuring plans are up to date on office operations facilities and people-related services and liaising with other key stakeholders to align contingency plans across functions.
- Oversee Health and Safety for UK office to maintain a safe legally compliant and supportive working environment
Qualifications :
- Proven experience in office management executive support or business services in a corporate environment.
- Strong organisational and multitasking skills with attention to detail.
- Ability to anticipate challenges provide solutions and implement process improvements.
- Excellent interpersonal and communication skills.
- Ability to manage confidential information with of discretion.
- Experience managing teams and working cross-functionally.
- Familiarity with facilities management and vendor coordination.
