How youll contribute Provide support to construction project managers for the creation and maintenance of contracts change orders subcontracts financial information and other relevant project information. This role will also include typical office management responsibilities.
Key Responsibilities 1. Process new job contracts and subcontracts including: Enter project data into Procore including Contracts and project team (client architect and subcontractor) information. Create Subcontracts & Purchase Orders with input from project managers and coordinate their assembly and mailing (DocuSign). Request obtain & track bonds and certificates of insurance. Process and track security paperwork as required for government contracts and CMA projects. 2. Assist with integration between Procore and accounting system. 3. Work in AIA Software to process both Owner and Trade Contractor change orders. 4. Set-up change orders in DocuSign and track execution. 5. Consistent follow up with vendors on all project related action items. 6. Updating contract documents during construction. 7. Maintenance of all project logs utilizing Word documents and Excel spreadsheets. 8. Ensure vendor invoices are sent to accounting. 9. Assist with updating project budgets in Procore. 10. Assist with Vendor prequalification. 11. Assist in the coordination and preparation of monthly project progress reports i.e. projected cost reports schedules and status reports 12. Assist in processing qualifications proposals and interview prep materials. 13. Assist in the processing of site-specific safety plans. 14. Assist in the processing of the Quality Management Plan (QMP). 15. Assist in the processing and monitoring of submittals for each project through Procore or clients electronic reporting system and assist project managers and project engineers in their distribution. 16. Attend project meetings. Prepare & distribute agenda minutes and schedules to team members. 17. Receive record and distribute ASIs Proposal Requests RFIs Addenda and RFQs to appropriate team members. 18. Support project completion and closeout process by distributing punch lists assembling and transmitting Close-out Documents (O&M manuals warranties as-built drawings extra materials & shop drawings). 19. Organize records compile reports and maintain project files. Distribute reports as needed. 20. Creation of subcontractor and supplier lists. 21. Communicate with co-workers management clients subcontractors and others in a courteous and professional manner. 22. Conform with and abide by all regulations policies work procedures and instructions. 23. Assist in the creation and modification of written work procedures for this position. 24. Assist in organization and revisions of process manuals. 25. Responsible for ordering all office supplies. 26. Provide oversight of office copiers and paper stock. 27. Manage and coordinate office cleaning contractor utility services and landlord communication. 28. Coordinate employee logistical needs. 29. Comply with all safety rules and use all appropriate safety equipment. 30. Greet and help visitors to office. 31. Other duties as assigned.
