POSITION DESCRIPTION:

Serve as the primary administrative liaison for the Adjutant General managing all front-office operations including reception visitor intake and telephone communications. Ensure professional timely and accurate handling of inquiries and requests. Draft edit and finalize military and civilian correspondence with a high degree of accuracy ensuring clarity correct formatting and adherence to established protocols. Proofread documents for grammar punctuation and consistency. Receive process and distribute all incoming mail certified documents and official correspondence. Ensure appropriate tracking routing and archiving of time-sensitive materials. Maintain accurate records and contact data for key internal and external stakeholders including commanders J-staff directors elected officials NGB representatives out-of-state TAGs and high-priority retirees. Ensure readiness of emergency contact and continuity data. Monitor the Adjutant Generals calendar to maintain awareness of upcoming engagements; prepare meeting materials confirm administrative details and ensure readiness for internal and external meetings. Support timekeeping and performance tracking systems such as LaGov CATS and Continuous Performance Management (CPM) for select employees. Monitor personnel files for completeness and compliance including emergency contact updates and personnel action forms. Manage the initiation amendment and revocation of military orders. Maintain a secure and organized order tracking system both hard-copy and electronic. Support coordination of protocol functions senior leader invitations and official social functions including spousal coordination when appropriate. Participate in internal staff meetings and synchronization huddles to support alignment of executive priorities and cross-functional coordination. Serve as a key point of continuity during steady-state and emergency operations. Be available to support extended hours during weekend drills activations or real-world events requiring sustained executive operations and flexible scheduling. Maintain office supply levels and assist team members with routine administrative and clerical needs. Attend required training to remain compliant with state employment standards. Perform additional duties as assigned in support of the Adjutant General and the Office of the Adjutant General. Coordinate and occasionally travel in support of the Adjutant Generals mission. Perform other duties as assigned.


GENERAL REQUIREMENTS:
  • Must have a valid Drivers License Social Security Card and Birth Certificate.
  • Must be available to report to duty during emergency or disaster situations for extended hours over an extended period of time. Other periodic travel may be required.
  • Must meet physical requirements to perform functions of the position.
  • Must attend/complete all Louisiana Military Department (LMD) annual training and other training required for the position.
  • Must adhere to the Code of Ethics and foster a Sexual Harassment-Free Environment.

CONDITIONS OF EMPLOYMENT:By submitting an application for employment with the Military Department the applicant agrees to the following conditions of employment:
  • All LMD positions require in-office attendance. This is not a remote position.
  • Salary is paid by Electronic Funds Transfer (EFT) / Direct Deposit Only. A checking or savings account is required for employment.
  • For positions requiring computer/email access selected applicant must qualify to obtain a Department of Defense Common Access Card (CAC) Card and maintain eligibility.
  • LMD is a substance abuse and drug free workplace. The selected applicant must pass a pre-employment background investigation and pre-employment drug test. Thereafter all employees are subject to random drug testing.
  • To become an employee of the LMD you must be a current member of the Louisiana National Guard or eligible for membership in the Louisiana State Guard.
  • The selected applicant must pass a pre-employment criminal background investigation prior to employment.
