Under the supervision of the Sr. Associate Director the Sr. Records Assistant is responsible for reviewing sorting classifying maintaining and archiving documents data test scores and other sensitive information related to a students official enrollment records using the Universitys student information systems including Slate CRM PeopleSoft/CaneLink and OnBase.
Primary Duties and Responsibilities:
- Manages the I-20 workflow process preparing files for Admission to submit for approval; Reviews student record data for accuracy and makes necessary changes across all systems monitors I-20 checklist items and communicates and assists students with compiling necessary documentation to satisfy requirements.
- Liaison with the Athletics Department to ensure student athlete records are accurate and applications are complete and ready for review.
- Assists Admissions and EM Operations teams with student record change requests.
- Processes documents for undergraduate student records from the first point of contact through enrollment.
- Understands and communicates important concepts related to records management and utilizes a practical approach for ensuring that student records are accurately maintained.
- Generates queries reviews and analyzes results to troubleshoot data discrepancies and ensures student record data is accurate and complete.
- Assists in reviewing mismatched records in application staging queues and corrects errors as needed to ensure accuracy across systems.
- Reviews files in the Need Info Queue Reader Bins assigns and satisfies application checklists accordingly.
- Assists with the final high school transcript review process.
- Addresses student and parent questions and concerns related to student applications and records and serve as the liaison for student records to other University departments.

- Knowledge of records management concepts is important for this position.
- Strong attention to details and ability to manage multiple projects and tasks simultaneously is required.
- Excellent oral and written communication skills and ability to provide excellent customer service to students parents and administrators
Education and Experience Requirements (Essential Requirements):
- High school diploma required. Post-secondary education preferred.
- Three (3) years of relevant work experience managing records preferably in a higher education or corporate setting.
- Any appropriate combination of relevant education and work experience will be considered.
