As a Property Associate (PA) within our Industrial Property Management team you will provide vital administrative support to Property Managers and ensure the smooth day-to-day operation of managed properties. This on-site role is ideal for someone who thrives in a fast-paced environment values organization and is passionate about providing exceptional service to tenants and vendors.
Provide direct administrative assistance to Property Managers.
Maintain accurate filing systems for leases service contracts reports legal correspondence and payables.
Track and manage Certificates of Insurance (COIs) for tenants and contractors.
Monitor and respond to daily email correspondence.
Coordinate express mail packages and oversee office supply inventory for mailing needs.
Support compliance with internal and external management audits.
Assist in budget preparation and documentation.
Process accounts payable: enter invoices code them correctly and secure approvals.
Manage and collect W-9 forms from vendors.
Print and review Aged Delinquency reports; prepare and send delinquency letters to tenants.
Complete manual adjustment forms for tenant service charges.
Assist with accounts receivable tasks and tenant billing.
Deliver excellent customer service to tenants vendors and contractors.
Maintain and update the Tenant Handbook and tenant contact lists.
Draft and distribute tenant memos and formal communications.
Coordinate tenant move-in/move-out processes and ensure necessary paperwork is in place.
Perform other tasks and responsibilities as assigned by Management.
Education: Associate s or Bachelor s degree preferred or an equivalent combination of education and experience.
Experience: Minimum of 1 year in an administrative or property management support role. Previous exposure to industrial or commercial real estate is a plus.
Skills:
Strong multitasking abilities and attention to detail.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint).
Willingness to learn new client-specific software.
Flexibility to work extended hours when necessary.
