SUMMARY

The Palliative Care Program Coordinator provides general administrative support to the Palliative Care (PC) Leadership Team and the Alive Institute.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provide general office management and administrative support to the Chief Medical Officer (CMO) and Palliative Care Leadership Team including but not limited to:
  • General research support.
  • Routine correspondence.
  • Process invoices/expense reports.
  • Develop agendas and track action items in follow-up.
  • Develop orientation schedule for newly hired team members.
  • Place catering orders for meetings as needed.
  • Travel arrangements.
  • Assist with assimilating and tracking metrics for the program generating reports and coordinating with IT department for maintenance of that data.
  • Assist with and populate provider scheduling for inpatient and community based palliative care including what may be needed for call moonlighters and learners.
  • Maintain strict confidence around matters of patient care.
  • Prioritize tasks and exercise discretion around communication for executives of Alive Complex Care
  • Assist with patient scheduling as needed

2. Coordinate activities for the Alive Institute including but not limited to:

  • Create schedules and assist with onboarding all learners including rotation schedule including ride-alongs with multiple disciplines and inpatient time in conjunction with the CMO.
  • Support learners needs while rotating at Alive.
  • Coordinate evaluation of all learners per their program requirements.
  • Develop internal evaluation protocol of learners and implement/administer.
  • Maintain a list of all projects running through the Institute and track progress.
  • Assist with project management within the Institute as relates to managing patient enrollment and files.
  • Coordinating schedules meetings and other administrative support needed to facilitate projects within the Institute and projects we are evaluating.
  • Assist with assimilating and tracking metrics for the Institute generating reports and coordinating with IT department for maintenance of that data.
  • Assist with submissions for research projects or professional organizations.
  • Assist with scheduling educational sessions for the CMO as needed by the educational department.

3. Maintain Palliative Care and Institute Leaderships schedules.

4. Track Palliative Care and the Institutes direct reports for yearly team performance evaluations and ensure they are completed in a timely manner.

5. Assist with planning and preparation of all staff meetings leadership retreats and other special events as directed by the CMO/PC Leadership Team.

6. Manage other administrative employees and schedulers of Alive Complex Care.

7. Other duties as assigned.



Requirements

EDUCATION and/or EXPERIENCE

Bachelors degree (BA/BS) or equivalent from four-year college; and minimum of 10 years experience as an administrative assistant required. Health care experience required.


CERTIFICATES LICENSES REGISTRATIONS

If required to drive to carry out the duties of this position: current drivers license and automobile insurance as required by Tennessee State Law.
