Job Description

Position Overview and Responsibilities
OMRF is seeking a Purchasing Agent to join the team. This position plays a critical role in ensuring operational efficiency cost-effectiveness and timely delivery of goods and services across the Foundation. Your work would directly support the day-to-day functions of our teams enabling them to deliver on their goals with the resources needed to support our mission: so that more may live longer healthier lives.

Responsibilities included within the role:

PROCUREMENT & PURCHASING OPERATIONS
Reviews requisitions verifying accuracy terminology and specifications.
Approves requisitions for conversion to purchase orders. Prepares purchase orders and sends copies to supplier when a hard copy is required.
Compares prices specifications and delivery dates to provide best value for end users.
Consults catalogs and interviews suppliers to obtain prices and specifications.
Estimates values according to knowledge of market price.
Collaborates with users vendors and other stakeholders to address issues involving defective or unsatisfactory goods or services identifying the cause and initiating corrective action.

VENDOR & SUPPLY MANAGEMENT
Confers with vendors to obtain product or service information such as price availability and delivery schedule.
Prepares bid requests when required.
Reviews bid proposals and negotiates contracts within budgetary limitations and to scope of authority.
Expedites delivery of goods/services to users.
Processes and ships returned goods to vendor and ensures proper credits are received.

FINANCIAL COORDINATION & RECORDKEEPING
Maintains procurement records (e.g. items or services purchased costs delivery product quality or performance and inventories).
Assists and coordinates with the Accounting department the processing of completed purchase order payments.
Approves invoices for payment.
Verifies invoices from suppliers with bids/quotes and purchase orders and approves payment.

Performs other duties as assigned by the supervisor.

Minimum Qualifications
High school diploma or GED and five (5) years of relevant experience or combination of education and experience.
Clear understanding of procurement principles for providing quality service to Foundation departments by managing and measuring vendor performance.
Experience with or demonstrated ability to learn applicable purchasing/accounting software and processes.
Strong and effective communications skills both verbally and in writing.
Ability to multitask and perform mathematical computations.
Must possess a team-first mentality.

Work Hours
Typically Monday through Friday from 8:30AM to 5:00PM.
