Job Description
The Associate Manager of Family Programming plays a key role in ensuring the rollout of the familyprogramming that occurs at Illumination Foundation family shelters. They will oversee the Family Navigatorsat the varies family shelter sites. The Associate manager of Family Programming is responsible forcoordinating family shelter intakes with Family Navigators ensuring intakes are completed on time andrecorded following program procedures. They will provide communication scheduling and logisticalsupport to current community partnerships. Additionally the Associate Manager of Family Programmingwill support the Associate Director of Family Programming with day-to-day operations on-site across family shelters andperform audits as requested and required for contracts.
The pay range for this position is$28.00 - $30.00per hour depending on experience.
Responsibilities
Administrative and client care:
- Complete audits as requested and required for contracts.
- Request shelter referrals from HMIS and the family-coordinated entry system
- Screen all households entering shelter for health insurance. Prompt staff to enroll households not enrolled in health insurance.
- Create case files physical and electronic for new participants
- Gather necessary vital documentation from households at intake or identify any documents that will need to be requested
- Communicate with agency partners to schedule programming/classes for families
- Maintain updated & accurate case notes records & relevant paperwork on KIPU & HMIS.
- Input and enter all data from screenings and intake on relevant Google Docs KIPU and HMIS.
- Track program services for data collection & proof of desired outcomes
Managerial:
- Provide oversight to Family Navigators and ensure that the provision of services are client-centered trauma-informed and high quality.
- Provide training and support to the Family Navigators
- Support and oversee day-to-day shelter operations and respond to situations as they arise on-site.
- Delegate tasks including intakes referrals and screenings as needed to Family Navigators
- Coordinate with Family Navigators the attendance and participation to events screening fairs or clinics facilitated by IF partners
- Coordinate Case Conferencing with program staff
- Monitor case files/notes as necessary to ensure program compliance
- Ensure staff prepare rooms and client spaces for new families entering the shelter program
- Collaborate with other departments at Illumination Foundation as necessary and appropriate including volunteer and communications departments.
- Complete referral paperwork as deemed appropriate for children and families.
Preferred Experience/Minimum Qualifications
Required:
- Bachelors degree in human services child development or other related field.
- 2 years relevant experience.
- Basic computer skills including the ability to send and receive emails and summarize data in spreadsheets.
- Valid CA Drivers License and eligibility for company vehicle insurance.
Preferred:
- Bilingual in English and Spanish preferred
- Proficiency inMicrosoft Office Suite (Outlook Word Excel Teams)
