Position Overview / Summary:
This position is responsible for managing public tender processes in line with Public Procurement Law (PPL) coordinating bid submissions reviewing contracts and ensuring compliance with company policies and customer requirements. The role supports sales and service teams in formal procedures contract drafting and cross-departmental coordination.
Additionally the position oversees marketing activities in Poland including budget management event organization media cooperation and preparation of marketing materials. The role also handles office and facility management tasks acting as a point of contact with building administration and service providers ensuring smooth daily operations.

What Youll Do (Responsibilities):
Sales & Support:
Managing the formal processes related to public tenders (in line with the Public Procurement Law-PPL) and commercial offers.
Supports bid process
Managing proper (effective) participation in tenders and submission of other formal offers including coordination of tender reviews and deadlines revision of the terms and conditions.
Supporting verification of compliance of trade and service conditions with the companys guidelines in relation to customers requirements.
Submitting the final offers and conducting tenders formalities to sign the contract.
Supporting sales and services initiatives and processes (formal issues).
Providing Public Procurement Law advice (solely and based on a cooperation with a legal office).
Drafting modifying reviewing and giving opinions on contracts with the main objective to protect the companys interest and to limit its exposure and liability.
Drafting modifying reviewing letters addressed to clients in various sales and organizational matters.
Supporting coordination of communication between departments.
To be a point of reference in contacts and sales matters for other departments.
Marketing:
Accountability for the marketing activities in Poland
Accountability for managing the marketing budget.
Events end-to-end events management (suppliers; booth -project construction services; corporate materials; other marketing and organizational matters)
Media cooperation incl. preparation of the articles / adverts
Materials and gimmicks - managing the PL version of the marketing materials such as brochures leaflets; organizing gifts / gimmicks for customers.
Office and Facility Management
Coordinate topics related to the office and building
Contacting the building administration in case of problems/damages
Contact with Egencia Service Desk when needed
Office supplies
Who You Are (Qualifications):
Good knowledge about the public tender business
Good knowledge of SAP
Good computer and keyboard skills (including MS Office)
Good administrative skills
Analytical thinking skills
Fluent Polish and Good English
Detailed oriented
Accuracy and ability to follow-up and tracking
Proactivity
Ability to prioritize tasks
Ability to solve problems and communicate properly
It will be a plus - to be familiar with medical systems and specific terms
