TITLE: Administrative Secretary - Special Education
POSTION TYPE:CLER
HIRING SPECIFICATIONS:
Required:
1. High school diploma GED or HiSet.
2. Five years secretarial and/or administrative support experience.
Skills Knowledge and Abilities:
1. Ability to work independently or as part of a team to achieve assigned tasks
2. Effective interpersonal skills
3. Skills in human relations leadership and conflict management
4. Proficiency in Microsoft suite of applications specifically Excel Word and PowerPoint
5. Effective written and oral communication skills
6. Competency working in a culturally diverse environment or the willingness to acquire these skills
BASIC FUNCTION:
The Special Education Administrative Secretary will initiate and coordinate the clerical and secretarial functions required in effective implementation of special education administrative policies of an administrative unit.
ESSENTIAL FUNCTIONS:
1. Answer telephone direct callers take and deliver messages and return calls.
2. Handle all incoming and outgoing mail and package deliveries.
3. Monitor front door access.
4. Greet and direct visitors as needed.
5. Maintain file documents and employees files.
6. Maintain conference room calendars.
7. Process department paperwork including Network budgets and orders.
8. Process/update the time clock and attendance system as needed.
9. Update reports forms and informational materials.
10. Prepare reports and distribute as requested.
11. Assist with new employee orientation.
12. Disburse forms to other departments/schools.
13. Assist with special projects (Special Education Summer Institute Biometrics Screening etc.).
14. Support building/grounds-related activities (conference/presentation rooms key distribution security etc.).
15. Serve as the building point person for requesting custodial staff support and general maintenance needs.
16. Manage enrollment for Special Education District Wide Programs.
17. Support student scheduling for Special Education District Wide Program.

DAYS: 260 days HOURS: 7.5 hours a day
PHYSICAL REQUIREMENTS:
Frequent: standing walking and sitting.
Occasional: bending stooping reaching pushing pulling stair climbing driving lifting (50bls) and carrying (100 feet)
WORKING CONDITIONS:
Constant: Inside
Occasional:outside extremes of temperature and humidity
