QUALIFICATIONS
High school diplomaor equivalent (GED). Post secretarial training a plus.
Five (5) years office experience. Applicable post-secondary training may be accepted in lieu of experience.
Thorough knowledge of professional and accurate business English spelling and punctuation.
Demonstrated ability to use advanced features of various word processing and data base programs such as Microsoft Office Suite including but not limited to Word One Note Access Excel Power Point Outlook etc.
Strong bookkeeping background preferred.
Ability to communicate accurately and effectively both orally and in writing.
Ability to interact in a positive and productive manner with staff educators and the public.
Ability to work independently and quietly in a large open space environment with multiple other departments.
Ability to maintain a high level of confidentiality.
Good organizational and self-starter skills.
Ability to meet multiple deadlines.
Must be punctual and maintain a good attendance record.
RESPONSIBILITIES
Provide administrative support for the Elementary School Supervisors and Coordinator assigned to the area of Title I Early Childhood Programs (i.e. create and maintain meeting sign-in agenda notes and evaluation SANE documentation.
Perform routine tasks not limited to typing filing and scheduling meetings.
Handle administrative details independently including screening of telephone calls composition of letters/memos etc. copying organizing materials responding to daily email and scheduling of appointments and meetings.
Process school and district-level purchase orders and invoice authorizations for multiple accounts.
Follow WCPS Purchasing guidelines when making travel arrangements for regional and national conferences.
Maintain office records update financial accounts files and reports in an efficient manner.
Maintain and monitor budgets for multiple State and Federal grants.
Arrange non-public and Prekindergarten student assessments for entry into elementary programs.
Interact effectively with internal and external parties (i.e. school administrators bookkeepers parents MSDE representatives non-public school administrators etc.
Record type and disseminate meeting minutes to all parties in a timely manner following meetings.
Compile information for various projects simultaneously.
Maintain files for Prekindergarten and Kindergarten registration materials.
Perform other duties as assigned.
