The HR & Benefits Manager plays a critical role in fostering a positive HR-compliant and employee-centric workplace at Thesis and Owen Jones. This role combines deep subject matter expertise in benefits administration leaves of absence accommodations and HR compliance. They will serve as a key partner to employees and managers ensuring policies programs and processes align with organizational goals and meet all applicable employment laws and guidelines. This position will also partner closely with the Payroll Manager and act as a backup for payroll processing when needed.
Oversee and administer employee benefits programs including group health dental vision flexible spending accounts disability life insurance accident critical illness and retirement 401(k).
Act as the primary point of contact for employee benefit inquiries and vendor coordination including troubleshooting and resolution of claims and coverage issues.
Conduct benefits orientations process enrollments in HRIS and manage open enrollment periods and benefit rollouts in partnership with brokers and internal stakeholders.
Coordinate benefit premium adjustments with Payroll and review monthly carrier invoices for accuracy.
Oversee COBRA administration in collaboration with third-party vendors.
Administer all types of employee leave in compliance with local state and federal laws (e.g. FMLA OFLA PLO WA PFML CFRA ADA/ADAAA).
Manage day-to-day leave cases workers compensation claims disability claims and workplace accommodation requests.
Lead the ADA interactive process and support managers in handling return-to-work procedures and modified work schedules.
Maintain confidentiality and compliance with HIPAA and privacy requirements throughout leave and accommodation processes.
Ensure compliance with all relevant federal state and local labor laws and HR policies including regular reviews of handbooks employee notices and internal procedures.
Partner with managers on employee relations issues offering support in performance management conflict resolution and documentation. Uplevel escalated concerns to the Chief People Officer as needed.
Monitor changes in employment law and proactively adjust internal processes to maintain compliance.
Assist with internal investigations and sensitive HR matters upholding fairness and consistency.
Work in close collaboration with the People Operations and HR team on all processes related to the employee experience (HRIS management onboarding annual merit process performance reviews promotions and offboarding) as needed.
Manage strong relationships with other departments to ensure company policies and procedures are being consistently followed and intervene or offer support as needs arise.
Partner closely with the Payroll Manager to ensure accuracy and alignment between HR and payroll data particularly regarding benefits leaves and employee status changes.
Serve as a trained backup for processing payroll during absences or high-volume periods with a focus on maintaining timeliness and accuracy.
Minimum 5 years of progressive HR experience with a focus in benefits leaves and compliance.
PHR or SHRM-CP certification preferred.
High school diploma or GED required; Bachelors degree in Human Resources Business or related field strongly preferred.
Extensive knowledge of employee benefits and leaves of absence and applicable laws and experience managing company programs.
Strong understanding of HR compliance employee relations and payroll alignment.
Exceptional communication organizational and analytical skills with strong attention to detail.
Experience with HRIS platforms (e.g. ADP Workforce Now) and proficiency in Mac OS Google Workspace Microsoft Excel and Word.
Ability to build trust and communicate clearly with employees vendors and internal leaders.
Reporting: This role reports to the Chief People Officer.
Collaboration: Frequently engages with leadership HR Talent Acquisition Operations Communications Learning & Development staff as well as external stakeholders.
