About the Job Your Role
As an Office Manager you will supervise the office support personal including Health Information staff and participates in the administrative and business support activities of the Medical Service Department within an this position you will also assist the Medical Service Manager in compiling and preparing reports and documents. Develops and maintains an efficient record keeping and filing system of confidential and non-confidential material for the administrative office of the institution Medical Services department. You will coordinate workflow by analyzing developing revising and reviewing clerical functions and procedures. You will also train and assist staff in performing a variety of supportive duties. You will also assist your manager by researching data which includes billing codes and providing statistical reports needed for review and program evaluation.
You will analyze evaluate and interpret division rules policies and procedure statements institution rules and regulations departmental policies and procedures including Department of Corrections rule regarding confidentiality of medical records and develops and maintains office procedures. You will prepare and present agenda items at medical staff meetings. You will also recruit interview select and orient in conjunction with the Medical Services Manager office support personnel including Medical Records Technicians to assist and facilitate health care delivery. You will supervise office support personnel so work is performed consistently with assignments. You will assist in facilitating the interpretation of provider orders with licensed health care staff. You will facilitate the coordination of security staffs needs for the purpose of transportation and security supervision. You will be familiar with CPT (Current Procedural Terminology) and ICD-10 (International Classification of Disease).
You will receive and place telephone calls on a multi-line system assuring pertinent information is transferred immediately and efficiently to appropriate staff. Prepare and maintain records financial statistical inventory and assuring distribution to appropriate parties. You will oversee the payroll process of all staff within Medical Services. Schedule subordinate employees for all required training and assist in facilitating continuing professional education requirements.
This position is management services and may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS) as defined by statute.
Minimum Qualifications
Three years of administrative support experience. Two years of which must be at a full-performance level and include monitoring or auditing a program or operation preparing narrative and statistical reports establishing and maintaining procedures and the evaluation of projects processes and of the two years must include lead work responsibility over office support staff (i.e. assigning and reviewing work of others).
Requested Skills
Experience with confidentiality protocols and the ability to maintain strict confidentiality in all matters
Ability to manage multiple high-priority tasks with a heavy workload and competing deadlines and ensure timely completions
Ability to compose and formulate high level correspondence reports and other written documents
Strong written and verbal communication skills
Advanced Microsoft Word Excel and computerized information database experience (ex. DOC400)
Interpret and apply statutes rules regulations policies procedures and guidelines
Front/back medical office work experience
Knowledge of medical terminology and coding (ICD-9/10 and CPT coding)
Coordinating duties
Experience maintaining supervisors calendars including accepting/declining and scheduling meetings and travel arrangements
Knowledge working with budget activities and reports
Recruiting and managing interviews
Knowledge of payroll process
Collect analyze and report data

Working Conditions
This position is located at the Coffee Creek Correctional Facility and works with adults in custody (AIC). The AICs have the potential for becoming angry hostile abusive and aggressive increasing the risk to employees for physical injury death and/or being taken hostage. You will work as a member of an office team where conversations and paperwork of a sensitive nature are generated and will be required to keep this information confidential.

The salary range listed above is for non-PERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range to reflect an additional 6.95%.

About the Process What to Expect
