Job Title: Finance Administrative Assistant
Reports To: Chief of Staff
Job Status: Full-time/12-Month Position
Job Summary: The Finance Administrative Assistant provides comprehensive administrative andclerical support to the schools finance department ensuring efficient and accurateprocessing of financial transactions and maintenance of financial records. This rolerequires a high level of accuracy attention to detail and discretion when handlingconfidential information. The ideal candidate will possess strong organizational skillsand have excellent communication abilities.
Essential Duties and Responsibilities:
Accounts Payable:
- Process invoices obtain necessary approvals and ensure accurate coding to appropriate accounts.
- Reconcile vendor statements and resolve discrepancies.
- Maintain accurate and organized vendor files.
Accounts Receivable (as applicable):
- Assist with processing incoming payments.
- Prepare and make bank deposits.
- Assist with tracking and following up on outstanding invoices or balances.
Payroll Support (as applicable):
- Assist with the collection and verification of timesheets and payroll data.
- Maintain employee payroll records including deductions and direct deposit information.
Financial Record Keeping:
- Maintain accurate and organized financial records both physical and electronic.
- Scan file and retrieve financial documents as needed.
- Assist with the preparation for audits by providing requested documentation.
General Administrative Support:
- Answer phones respond to emails and direct inquiries to the appropriate personnel.
- Prepare correspondence reports presentations and other documents as requested.
- Handle confidential financial information with the utmost discretion.
Customer Service:
- Provide excellent customer service to internal staff vendors parents and other
- stakeholders regarding financial inquiries.
- Resolve routine financial questions and issues.
Other Duties:
- Perform other duties as assigned by the Chief of Staff.
