Job Description:

POSITION PURPOSE SUMMARY:

The Volunteer and Student Coordinator is responsible for recruiting training coordinating and supporting volunteers and student interns across Community Services Calgary under the Community Relations department. This role is essential in fostering a positive and engaging experience for volunteers and students ensuring their alignment of our mission vision and values.

The Coordinator ensures that all volunteers and students are well-prepared appreciated and meaningfully involved in the life-changing work we do.

ACCOUNTABILITIES:

1. Volunteer Program Administration and Coordination:

  • Collaborate with the Community Relations Manager to develop and implement a volunteer program in line with The Salvation Armys policies accreditation standards and the Canadian Code for Volunteer Involvement.

  • Administer all aspects of the volunteer program including recruitment onboarding training engagement and recognition.

  • Provide administrative support in the preparation of the annual volunteer services budget and monitor expenditures to ensure fiscal responsibility.

  • Recruits and effectively engages volunteers to meet the needs of Community Services (Calgary) programs.

  • Develops implements reports on and evaluates the volunteer program.

  • Work with program coordinators and/or managers to match volunteer skills and interests with Community Services Calgary needs.

  • Orients trains and supports volunteers in conjunction with the managers.

  • Create and implement a volunteer appreciation program and coordinate formal recognition events.

  • Maintains documentation including monthly statistics reports and annual outcome summaries.

  • Creates reviews and regularly updates volunteer policies procedures and the volunteer handbook ensuring alignment with both daily operational needs and overarching headquarters guidelines.

  • Adapts the volunteer program to meet evolving community needs and priorities of the community and ministry unit standards.

  • Chair and contribute to internal meetings related to volunteer services as needed.

  • Participates in accreditation processes and ensure volunteer program compliance with standards.

  • Lead annual planning for the volunteer program to promote growth and effectiveness.

  • Performs other related administrative duties that support organizational and program missions.

  • Supports manager with Volunteer Services program budget.

2. Student Placement Program Administration and Coordination:

  • Assist and maintain a structured student placement program including application screening orientation and evaluation processes.

  • Establish and maintain relationships with educational institutions to support student recruitment.

  • Prepare and present reports on student participation and program outcomes.

  • Ensure student placements are meaningful supervised appropriately and aligned with both student learning objectives and organizational goals.

  • Participate in internal staff meetings and other relevant organizational planning sessions.

  • Perform administrative tasks in support of broader organizational objectives.

3. Community Engagement:

  • Actively encourage volunteerism and student participation by raising public awareness of Community Services (Calgary) volunteer and practicum programs.

  • Build and maintain collaborative relationships with stakeholders including schools churches businesses community agencies and post-secondary institutions to promote volunteerism and attract applicants.

  • Represent the organization at volunteer fairs community events and presentations to recruit volunteers and increase program visibility.

  • Facilitate tours and group presentations as needed to educate the community about Community Services Calgary.

WORKING CONDITIONS:

  • This is a full-time permanent position of 40 hours a week.

  • Typical work location is on-site in an office setting within in a mens residential services facility.

  • Travel primarily within the city is required to attend volunteer fairs public events and volunteer events and travel to other ministry unit locations (20%).

  • Typical work week of Monday to Friday from 8:00 AM-4:30 PM with some evening and weekend work required which may impact lifestyle.

EDUCATION AND EXPERIENCE QUALIFICATIONS:

Education Qualifications and Certifications:

  • A minimum of completion of a formal post-secondary/college program of three years in a related field.

  • Degree in non-profit management human services volunteer administration or other related degree is an asset.

  • Certificate in Volunteer Management is an asset.

  • Valid Class 5 Drivers License and vehicle available for business use to attend various events meetingsand to travel to other CS(C) sites.

  • An alternate combination of education certification training and experience will be considered.

Experience and Skilled Knowledge Requirements

  • A minimum of 2 years proven volunteer management experience for a large volunteer program;

  • experience in a social service setting is an asset.

  • Proficient in MS Office and databases; familiarity with volunteer database software is an asset (e.g. Better Impact/Salesforce).

  • Knowledgeable about and able to interpret legislation and organizational policies procedures and guidelines.

Skills and Capabilities:

  • Enjoys working with and is passionate about people.

  • Displays a positive outlook and demonstrates effective teambuilding interpersonal and collaboration skills.

  • Ability to work collaboratively across departments and with diverse community groups

  • Excellent verbal/written communication skills; comfortable and skilled at public speaking.

  • Highly organized creative and motivated self-starter with the ability to prioritize and work under pressure with frequent interruptions.

  • Capable of multitasking quickly and consistently and performing under tight deadlines.

  • Able to exercise sound judgment and work with minimal supervisor.

  • Strong sense of integrity excellence and confidentiality.

  • Flexible schedule to work some evenings weekends and holidays.

  • Strong desire to support the mission and core values of The Salvation Army.

  • Able to sit stand walk bend drive and life/carry boxes and other materials up to 50 lbs.

  • Ability to provide Police Information Check (PIC).

  • Vehicle available for business use to travel to other CS(C) sites.

Compensation:

The target hiring range for this position is $57399.98 to $71749.97 with a maximum of $86099.96.

Placement in the salary range will be based on factors such as market conditions internal equity and candidate experience skills and qualifications relevant to the role.
