Job Description

Administrative Assistant for the Office of Student Affairs

Bishop Shanahan High School

220 Woodbine Road

Downingtown PA. 19335

Position Summary:

Administrative Assistant performs routine clerical and administrative functions such as drafting correspondence scheduling appointments organizing and maintaining paper and electronic files or providing information to callers.

Reporting directly to the Assistant Principal for Student Affairs (APSA) this person will be responsible for the daily operation of the office and planning and implementation of activities and events.

Responsibilities

  • Coordinate bus transportation for all field trips and activities.
  • Assist with bell schedules seating charts and the school calendar.
  • Handle the sale of event tickets yearbooks and other products and reconcile the revenue from these sales.
  • Assist with all offices in the building.
  • Interact with vendors contractors and professional services personnel to receive orders direct activities and communicate instructions.
  • Perform general office duties including answering multi-line phones routing telephone calls or messages to appropriate staff and greeting visitors when needed in main office.
  • Keep detailed records of all events and transactions using Google and Microsoft.
  • Work with the APSA to design and print booklets for all events.
  • Assist APSA at all events including evenings and weekends.
  • Responsible for being knowledgeable and implementing the mission of Bishop Shanahan High School.
  • Maintain a good working relationship with Administration Faculty and Staff as well as the students and families of Bishop Shanahan High School.
  • Stay up-to-date on current school happenings and the school calendar in order to answer any questions that might arise and to share the appropriate information when needed.

Required Qualifications

  • High school diploma or equivalent.
  • Previous experience in customer service or as an administrative assistant.
  • Excellent written and oral communication skills.
  • Strong organizational skills work efficiently juggle tasks simultaneously meet deadlines and achieve goals.
  • Strong motivation skills
  • Ability to work productively and positively with staff alumni and community
  • Must be flexible and able to handle constant interruptions and be open to helping other offices as needed.
  • Willing to work school events in the evening and on weekends.

Administrative Assistant for Student Affairs is a 10-month position.
