Job Title: Program Assistant Back to Our Future (B2OF) Reports to: Associate Director of Breakthrough Beyond FLSA Code: Non-exempt part time (hourly) Hours: Up to a maximum of 25 hours/week Location: FamilyPlex 3219 W. Carroll Ave Chicago IL 60624 POSITION SUMMARY The Program Assistant will work collaboratively with the Breakthrough Beyond team Violence Prevention team and the Behavioral Health team to ensure grant compliance provide administrative support and project management in order to support the mission and efforts of Breakthrough and provide comprehensive support services to youth and families.
ESSENTIAL RESPONSIBILITIES / FUNCTIONS
- Coordinate and participate in weekly departmental meetings between Violence Prevention Behavioral Health and Breakthrough Beyond
- Participate in collaborative efforts meetings and other events with partner organizations such as MFS and CPS
- Coordinate summer and school year youth program recruitment and applications;
- Ensure programs begin full program enrollment; and maintain 90% enrollment and average daily attendance
- Provide support during the absence of the Program Instructors as needed
- Work closely with other program staff and site managers to coordinate and schedule programs
- Organize and prepare all curriculum books and supplies
- Coordinate the weekly work schedule as well as lessons speakers discussion topics and field trips;
- Assist with the development of year-round curriculum topics
- Evaluate and report on youth learning outcomes and program outcomes
- Ensure accurate program reporting and recording tracking attendance program provider deliverables youth paperwork etc.
- Assess youth needs communicate with families and schools as appropriate and refer youth to support services as needed
- Coordinate transportation for field trips and other youth-related events
- Coordinate and issue youth participant stipends
- Assist in maintaining consistent social media and web presence; develop & edit media content
- Develop advanced opportunities/programs for long-term program participants
- Share best practices and program information with partner organizations
- Provide gracious and efficient telephone service as it relates to general inquiries
- Provide solutions to simple issues with guests escalating to the direct supervisor and/or Chief Program Officer when needed
- Provide support for special projects and events as needed
- Performs other duties as assigned

POSITION QUALIFICATIONS
- Be at least 21 years old
- Bachelors degree with at least 2 years of experience working with youth OR High School diploma with 5 years of experience in youth development
- Good interpersonal oral and written communication skills
- Maturity and sensitivity to cultural and individual differences
- Ability to maintain confidentiality
- Flexibility and team-oriented
- Must possess strong interpersonal skills professionalism and problem-solving ability
- Must demonstrate initiative and follow through and be comfortable working in a dynamic environment
- Must possess an accurate and informed understanding of cultural and urban realities especially as related to youth poverty and community development.
- Experience with Microsoft Office as well as the willingness to become proficient in other software packages and programs
- Regular reliable and non-disruptive attendance is an essential job duty as is the ability to create and maintain collegial harmonious working relationships with others.
- Must maintain a valid drivers license have daily access to a vehicle and an acceptable motor vehicle driving record and/or reliable means of transportation are required

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
Work Environment While performing the duties of this job the employee will work in a multi-purpose facility and/or outdoors and thus will be exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate but can be high depending on the activities in the facility.
Physical Demands While performing the duties of this job the employee is frequently required to walk and/or sit; use hands and fingers to feel objects tools or controls reach with hands and arms; balance; stoop; regularly talk or hear. The employee must be able to bend stoop pull lift as well as have an overhead extension of arms. Must be able to stand for long periods of time; be able to lift carry or move at least 50 pounds. Must adhere to proper handling and lifting vision abilities required by the job include close vision distance vision peripheral vision depth perception and the ability to adjust focus.
