Supervises: Parts Clerk Dispatch and Field Trip Scheduler
Primary Purpose:
Maintain all employees personnel folders and records. To assist in smooth on-going operation of the Transportation office.
Qualifications:
Education/Certification:
- High School Diploma or GED
- Bachelors Degree Preferred
- Texas Association for pupil transportation (TAPT) preferred.
Special Knowledge Skills:
- Inventory and capital outlay
- Knowledge in District purchasing procedures-familiarity with quotes bids approved vendors and discounts that are available through each vendor and how to enter in MUNIS appropriately.
- Knowledge in procedures for transportation trip requests.
- Thorough working knowledge of Talent ED.
- Thorough working knowledge of Employee Access and leave policies.
- Thorough working knowledge of KRONOS system to be assigned campus administrator.
- Knowledge on key inventory.
- Knowledge of building uses policies and overtime for drivers.
- Trustworthiness to be approved check signer for activity fund.
Experience:
- Proficient typing word processing file maintenance skills.
- Effective organizational communication and interpersonal skills.
- Flexibility and skill in prioritizing tasks.
- Knowledge of basic accounting principles
- Skill and experience in all office procedures
- Ability to use computer and software to develop spreadsheets databases and do word processing.
- Initiative to keep up with changing and new knowledge and processes.
Major Responsibilities and Duties:
- Invoice and receive payments for field trips and vehicle maintenance issues process and close POs for department. Obtaining quotes and pricing when needed.
- Maintain driver list for random drug/alcohol testing.
- Process Transportation Payroll (Kronos Payroll System).
- Maintain Bus Driver Certification Records.
- Disburse cash for overnight trips and record all travel expenses.
- Process records for new employees.
- Prepare workmans compensation information.
- Assist with insurance and benefits.
- Run annual and new hire motor vehicle reports.
- All other duties as assigned.
- Assist Director in preparing state and federal reports and budget.
- Assist with HR functions such as recruiting evaluating training and discipling of field trip coordinator parts clerk and dispatch.
- Assist in the hiring process by selecting candidates to interview for all non-exempt positions within the transportation department.
- Assist in creating a department culture that is consistent and cohesive with the overall districts mission vision and guiding principles.
- Assist with ensuring MSDS sheets are updated and available in proper location(s).
- Assist with department budget development and tracking.
- Assist with and maintain service contracts and bid quotes for the department.
- Act as backup for dispatch field trip coordinator and monitor as needed.
- Participate in all professional development as required.
