Job Description

Reporting Manager: Chairperson & Vice Chairperson

Administrative Support:
  • Managing the CP s and VCP s calendar scheduling appointments and ensuring timely reminders.
  • Handling all incoming and outgoing correspondence on behalf of the CP and VCP including email phone calls and post managing cash stationery and tracking expenses.
  • Planning car & chauffeur services whenever CP & GVCP are in town.
  • Organizing travel arrangements including flight bookings accommodations and itineraries.
  • Ensuring timely payment of utility bills for Eden Court tracking credit card statements and informing relevant parties.
  • Drafting reviewing and responding to emails and letters as directed.

Meeting & Communication Management:

  • Arranging and coordinating internal and external meetings conferences and video calls.
  • Preparing and circulating meeting agendas minutes and relevant documents.
  • Acting as the point of contact between the CP and VCP and internal/external stakeholders.

Reporting & Documentation:

  • Preparing daily weekly and monthly dashboards reports and presentations as required.
  • Tracking and following up on key action items discussed during meetings.
  • Maintaining and organizing confidential files records and documents.

Operational Support:

  • Monitoring task progress and updating the CP and VCP accordingly.
  • Assisting in approvals and internal communications as directed by the CP and VCP.
  • Handling special projects and other duties as assigned by the CP and VCP.


Requirements

  • Bachelor s degree.
  • Minimum 10 years of experience in a similar role supporting senior leadership.
  • Excellent written and verbal communication skills.
  • High level of discretion and integrity when dealing with confidential information.
  • Proficient in MS Office Suite (Word Excel PowerPoint Outlook); familiarity with project tracking tools is a plus.
  • Strong organizational multitasking and time-management abilities.
  • Professional interaction with a proactive and problem-solving mindset.
  • Ability to work independently and prioritize workload.
  • Strong interpersonal skills and the ability to liaise effectively with all levels of staff and external parties.
