Job Description

TITLE:SECRETARY TREASURER

LOCATION: Sumner Academy

The Kansas City Kansas Public Schools (KCKPS) is a nationally recognized urban school district that serves approximately 22000 students and 60 different languages are spoken in the homes of our students. KCKPS is home to Sumner Academy the #6 highest rated High School in the Nation and #1 High School in Kansas according to the US News rankings.

With Head Start/preschools 28 elementary schools 7 middle schools and 5 college and career academies/high schools we are the fifth largest district in the state of Kansas and our student population is approximately 56% Hispanic 24% African American 9% White and 6% Asian. To serve our students the district employs approximately 4000 employees including more than 1800 teachers.

JOB GOAL:

To maintain the financial books of the school accounts and the budget accounts in order to provide a learning environment with the necessary tools (supplies equipment etc) for students to grow and learn while in the care of the Kansas City Kansas School District.

ESSENTIAL FUNCTIONS:

  • Daily bank deposits - receipt and deposit all monies received in the school that day in accordance with all District policies and guidelines state statutes and sound financial practices.
  • Daily posting of activity to approximately 75 accounts including maintaining financial records of the student activity funds in manner prescribed by the district and in accordance with generally accepted accounting principles.
  • Process payments and prepare checks for all student activity disbursements in accordance with all District policies and guidelines state statutes and guidelines and sound financial practices.
  • Maintain the budget account balances to process supply equipment and miscellaneous items for requisitions/purchase orders through the GEM Reconcile all accounts on a monthly basis and provide monthly report of account balances to principal and business office.
  • Maintain the student debt list.
  • Work as part of a team to ensure efficient operation of the school office.

Monthly activities include:

  • Reconcile bank statement against the quicken account postings
  • Prepare sales tax report and pay sales tax and forward to Business Office(Treasurer Facilitator)
  • Work closely with athletic director and submit all referee payments on a weekly basis.
  • Prepare for principal review and signature monthly financial report and forward to Business Office (Treasurer Facilitator) by the 20th of each month
  • Provide monthly statement of activity in each account to the organization sponsor. Meet with sponsor as needed to assure such report is reconciled to their records. Maintain file of monthly reports with sponsor approving signature.
  • Prepare cash boxes for student activities; reconcile gate receipts and all sources of all funds for all school sponsored activities.
  • Liaison between the soft drink distributor & students for refunds on the machines.
  • Relieve receptionists once a week

QUALIFICATIONS:

  • High School Diploma or GED
  • Minimum 2 years experience in accounting or bookkeeping
  • Knowledge of accounting and bank reconciliation.
  • 10 Key Skill

COMMUNICATION / ORGANIZATION: Maintains communication with school personnel and parents/guardians to enhance cooperative action which will meet the needs of students.

Utilizes existing technology effectively in the performance of duties.

Performs other related work as required.

REASONING ABILITY: Ability to solve practical problems.

LANGUAGE SKILLS: Ability to effectively present information and respond to questions from groups of administrators staff parents students and the general public.

The activity level in a school office is high. Employee must be able to multi-task and contend with interruptions. Office employees will cross train in order to keep the level of service to students and parents at a high level.

SALARY:Based on KCKPS Schedule

FLSA STATUS: Non-Exempt Hourly

PERFORMANCE EVALUATION:Performance of this position will be evaluated in accordance with the Board of Education policy on evaluation.
